We are committed to preventing homelessness and enriching the lives of our women veterans and their children. Programs develop collaboratively; from the field up. Our core programs and strategic partnerships address the top four needs of women veterans: housing, childcare, jobs, and education.

Job Title: Donor Coordinator (part time or full time, based at our Vista office)

Position to Whom Job Reports: Impact Manager

Objective: Use skills and resourcefulness to positively improve and impact the sustainability of Foundation for Women Warriors and its programs.

Purpose of Position: To provide administrative support to the Foundation’s daily operations, under the supervision of the Operations Manager, at our Vista warehouse and across all our sites. To maintain, cultivate and steward donors and our donor database. Assists with a variety of events, procurement, and distribution functions, as needed.

Duties and Responsibilities:

Donor Coordinator Duties (60% of time) on-site

  • Maintain donor relationship management database, including updating donor records, compiling biographical information, data entry, and pulling reports/queries.
  • Process incoming gifts, including in-kind, and ensure that gifts are accurately recorded and thanked.
  • Coordinate donor mailings, including direct mail appeals.
  • Track pledges and monthly gifts to ensure on-time payment.
  • Analyze donor giving patterns to increase donor retention, upgrading, and conversion rates.
  • Assist with individual donor stewardship including acknowledgement letters, thank you cards, donor appreciation gifts, and other communications via phone and email.
  • Assist with preparation of the annual report and other reports to donors as needed.
  • Coordinate logistics for fundraising events, such as local and national house parties, donor cultivation events, and annual fundraisers.
  • Conduct research on donor prospects and other acquisition strategies to expand donor base nationally.
  • Represent FFWW at outreach and community events and site visits with stakeholders and partners as needed.

Office Assistant Duties (30% of time) on-site

  • Act as first line of customer service for incoming calls and emails to Foundation for Women Warriors.
  • Oversee creation, proofing, and mailing of program materials.
  • Perform regular cleanup of databases and mailing lists.
  • Provide reports from databases and event registration platforms.
  • Provide registration and logistics support.
  • Make and maintain calendar appointments for key staff members and projects.
  • Coordinate deadlines and collect articles and information from assigned staff for newsletters, various reports, and team projects.
  • Prepare meeting materials and coordinate scheduling of office visitors.
  • Maintain inventory of program supplies, marketing materials, and branded merchandise.
  • Assist in updating standard operating procedures manual.
  • Maintain secured, clean, and organized office spaces at all times.
  • Represent FFWW at outreach and community events and site visits with stakeholders and partners as needed.

Other (10% of time)

  • Assist with other FFWW activities and events.
  • Assist with programs and communication activities as needed.
  • Execute other duties as delegated.

Job Requirements:

  • Excellent listening, oral, and written communication skills, as well as enthusiasm for FFWW’s mission required.
  • Willing to occasionally work evenings and weekends (as required).
  • Maintain professional working relationships with all levels of staff, clients, and the public.
  • Be part of a team and cooperate in accomplishing department goals and objectives.
  • Excellent online research skills.
  • Must be proficient in Microsoft Word and Microsoft Excel, and be able and willing to learn client, volunteer, donor, and event management systems.
  • Automobile required to be maintained in working condition to travel to various collaborative meetings throughout San Diego and surrounding counties/areas. Proof of automobile insurance required.
  • Must be able to lift 50 lbs.
  • Experience with inventory tracking systems, preferred.
  • Excellent organization skills and ability to work autonomously.

Education and Experience:

  • Military experience is highly valued.
  • Previous office and or warehouse experience preferred.

Language Skills: Strong written and spoken English skills.

Pay: $18.00 - $21.00 per hour

COVID-19 considerations:
All clients are required to make an appointment prior to picking up donated items and PPE is required to be worn. No walk-ins are allowed.

  • High school or equivalent (Preferred)

Experience:

  • Database administration: 1 year (Preferred)
  • donor stewardship: 1 year (Preferred)
  • office assistance: 1 year (Preferred)
