Construction management company seeks a Document Control Specialist for a program management position primarily on a construction site with 5 years of experience in document management. Candidate must be able to interface/communicate with internal team members on tasks and projects, able to meet multiple and simultaneous deadlines, as well as demonstrate an ability to work both on teams and independently. This position provides a wide variety of administrative and staff support services at a team level. The position performs multiple related tasks that are non-routine in nature.
Job Responsibilities:
- Preparation of project information via retrieval and management (document control) of archived historical documentation necessary for project assessment and execution
- Assembly and management of completed project documentation for use by construction management and operations teams
- Data entry in various databases, most typically Microsoft® Excel or Access or ESRI ArcGIS based
- Assist with project status tracking in Microsoft® Excel, Primavera®, and Microsoft Access® database
- Knowledge of phase 1, 2, and 3 application procedures for transportation projects
- Coordinating project files, preparing project progress reports, arranging meetings and conference calls, maintaining files, and any other related duty as assigned or requested
- Responsible for obtaining, verifying, processing, documenting and maintaining records and invoices relevant to a project, including but not limited to claims, change proposals, expense reports, change orders, request for information, correspondence, payment application, contract documents, and other related documentation
- Implements contract modifications, data management and coordination with subcontractors
- Prepares bids, processes specifications, progress, and other reports, advises management and project personnel of contractual rights and obligations
Education Requirements:
Bachelor’s degree in business or construction related field.
Additional Requirements :
- Physical requirements include boxed file retrieval weighing up to 20 pounds
- Must possess the ability to maintain confidentiality and appropriately handle sensitive documents.
- Must possess a working knowledge of document control processes
- Excellent teamwork, coordination and collaboration skills
- Ability to respond proactively in a high-paced environment and willingness to adjust and respond effectively to changes
- Good organizational skills and the ability to prioritize workload and meet deadlines set by the program leadership team
- Excellent oral and written communication skills
- Experience in reading and interpreting, construction documents, construction reports and logs, and warranty information.

- Familiarity with Chicago Department of Transportation
- Familiarity with Illinois Department of Transportation
- Familiarity with Illinois Tollway
- Familiarity with Chicago Department of Aviation
Job Type: Full-time
Pay: $18.00 - $49.00 per hour
