DEFINITIONS:
The following are definitions of terms used in this Position Description:
Facilities refers to the Museum’s buildings, support structures and infrastructure including, but not limited, to interior and exterior areas. The scope of this term is all of the Museum’s facilities with the exception of facilities that are specifically assigned to another Museum department or manager.
Projects refers to activities to enhance, maintain, modify or replace the Museum’s facilities. The scope of this term is all of the Museum’s projects relating to facilities as assigned.
Operations refers to all aspects of the Museum’s trolley operations and volunteers, staff and other resources that support these operations.
Safety refers to the Museum’s efforts to:
- Identify, address, and prevent hazards and conditions that could lead to physical, psychological, or material harm to facilities, equipment and people
- Identify applicable rules, regulations, and requirements (ex. OSHA regulations) and to implement the programs and efforts necessary for the Museum to be in compliance with these rules, regulations, and requirements.
GENERAL DESCRIPTION OF POSITION:
The Director of Facilities and Operations (the Director) will be responsible for managing and participating in the Museums efforts in relation to facilities, facilities management, operations, safety and education/job training relating to facilities and technology.
DUTIES AND RESPONSIBILITIES:
The specific scope, goals, objectives, and evaluation criteria in relation to the duties and responsibilities of the position during any time period will be identified in a Work Plan to be developed jointly by the Director and the Museum’s Executive Director. Projects to be assigned by the Executive Director.
In relation to facilities and projects, the Director is responsible for the planning, management, and evaluation of the Museum’s efforts to maintain its facilities and perform Projects in relation to these facilities. The following applies to this responsibility:
- Work with the Executive Director, the Manager of Visitor Experience and, where applicable, other managers, Museum officers and volunteers to develop and update the Museum’s facilities master plan.
- Development of plans, budgets and other documents in relation to facilities and Projects as assigned by the Executive Director.
- Evaluation and selection of vendors, contractors and other outside resources and participation in the processes related to the contracting for these resources (purchase orders, contracts, professional services agreements, etc.).
- Overall management responsibility for the activities relating to facilities and projects as assigned by the Executive Director
- Supervision of volunteers, staff and other non-contract resources (i.e. Scout troops) working on facilities and projects as assigned by the Executive Director.
- Where applicable, participate in the actual work and activities relating to facilities and Projects as assigned by the Executive Director.
In relation to operations:
- The Director will serve as the Museum’s Operations Manager.
- When necessary, the Director will take emergency action to address problems relating to equipment (streetcars, etc.) or facilities (track, power, signals, etc.) that interfere with the Museum’s ability to conduct public operations.
In relation to the safety,
- function as the Museum’s safety officer and chairperson of its safety committee.
In relation to the Museum’s education and job training programs in the areas of technology, facilities, and facilities management, the Director will:
- Participate in the processes relating to identifying programs, defining programs, fund raising for programs and the management and assessment of the programs.
- Teach, supervise, and evaluate individuals and groups who are participating in these programs.
In relation to staff hired to support the Museum’s facilities or operations
- The Director will manage these staff members by performing activities that include, but are not limited to, involvement in hiring, evaluation and termination decisions, employee coaching and development, employee rewards, recognition, performance management and productivity.
In relation to materials such as exhibits and special event sets that support the Museum’s Visitor Experience
- The Director will participate in the processes and activities required to define, purchase, obtain, build, and maintain these materials.
In relation to fiscal management:
- The Director will work with the Treasurer and the Business Manager, as required to ensure the Director’s areas of responsibility are managed in accordance with the Museum’s policies and procedures for fiscal management.
In relation to reporting and communication
- The Director will prepare and submit reports, articles (ex. Trolley Fare) and other materials.
In relation to strategic planning
- The Director will support the Museum’s strategic planning efforts by serving on or supporting sub-committees and other groups that are addressing strategic planning for areas that are consistent with the Director’s duties and responsibilities.
Perform other duties that are consistent with the position.
POSITION CHARACTERISTICS:
- This is a full-time exempt position that requires some weekend and evening hours.
POSITION QUALIFICATIONS:
- Appropriate combination of education (Bachelor’s degree), training and work experience in the areas of technology, facilities, facilities management, safety programs, and project management.
- Experience as an educator that is sufficient to indicate the individual’s ability to perform the duties and responsibilities of the position.
- Possess, or obtain in a timely manner, a working knowledge of the technologies that the Museum provides to support the duties and responsibilities of this position.
- Has good verbal and written communications skills.
REQUIREMENTS TO BE HIRED AND TO MAINTAIN THE POSITION:
1. Obtain and maintain the appropriate background check clearances as defined in the Museum’s policy for Volunteer and Employee Background Checks.
2. Provide own uniform and/or other appropriate clothing and equipment.
3. Be able to work at locations other than the Museum, when necessary, to perform the duties and responsibilities of this position.
