Responsible for the marketing strategies to identify, cultivate, solicit and recognize individual donors and prospects and foundations; raises funds for PVA by cultivating, soliciting and closing major gifts with a special emphasis on Capital Gifts.
Regular Duties:
- Under the direction of the Senior Director, manages the bequest program. Tracks individuals who have indicated they have left a bequest to PVA, notifies Senior Director and Field Officers. When PVA is notified of a bequest, corresponds with attorneys, executors, and trustees and requests needed information; deposits distribution checks and/or provides deposit slips to Finance; scans and uploads documents into Holland and Knight and/or other database; and follows?up with attorneys (including PVA Office of the General Counsel and assigned Outside Counsel) and executors to ensure that PVA receives proceeds from estates as soon as possible.
- Works closely with Finance, OGC, Outside Counsel and PVA Auditors to record and reconcile booked receivables against cash distributions. Monitors IG’s general ledger to assure receivables and/or cash disbursements are recorded properly.
- Manages the bequest database. Keeps all bequest records current and accurate. Enters appropriate bequest and deceased information into the donor/prospect database and informs officers as needed. Reports data, on a regular basis to the Senior Director.
- Collaborating with Associate Senior Director, helps to manage the IG CRM and all other IG related dated bases.
- Manages Legacy Circle membership (the Legacy Circle is a recognition and stewardship society for individuals who have made bequests or deferred gifts to in support of PVA, our allied foundations and/or our Chapters); prepares and sends Legacy Circle invitations and records that information into donor/prospect database; sends Legacy Circle premium gifts and records into donor/prospect database; sets follow-up call for field officers.
- Assists in planned giving fulfillment process including sending follow up brochures and entering responses into database
Desired Skills, Abilities, Experience:
- Undergraduate degree, with two or more years’ professional experience in the development or related field in the administration of estates and trusts.
- Knowledge of donor/prospect databases is desirable.
- Ability to communicate and work effectively with General Counsel's Office and Finance Department.
- Excellent database, spreadsheet, and word processing skills required.
- Good mathematical and analytical skills.
- Must be highly organized and self?directed.
- Experience using planned giving and bequest software and/or donor software as well as knowledge of direct mail production a plus.
- Must be able to handle deadlines, multiple tasks, and stress with ease and good humor.
- As directed, participate in solicitations as appropriate.
- Generates reports and templates.
- Performs other duties as assigned.
