Stanford University’s Planned Giving Office seeks an experienced and collaborative administrative professional to support fundraising programs and activities for the planned giving team, with an emphasis on supporting the planned giving officers who work primarily with Medical Center Development. This person will work with planned giving officers, development officers, fellow development coordinators and other university staff to assist in establishing and maintaining relationships with multiple university constituencies.
The ideal Development Coordinator candidate thrives in a fast-paced environment and enjoys being part of a collaborative team. This person has excellent communication skills, enjoys working with a wide variety of people, and can multitask and prioritize quickly. This role requires a willingness to learn new systems, patience, flexibility, sharp attention to detail, a high level of professionalism, and a strong sense of priorities.

Your responsibilities include:
Administrative Management – 70%

- Providing project and administrative support to planned giving officers, including but not limited to: managing calendars, coordinating travel arrangements, and preparing and processing expense reimbursements, tracking requests for gift agreements submitted through the Service Now portal, Track on key dates across the organization and institution.
- Preparing accurate written material including correspondence, gift and pledge letters, and reports from university databases, handwritten notes, typed drafts or oral instructions.
- Providing general support to the Office of Planned Giving, including but not limited to, answering the office’s phone lines, managing the inquiries to the Office of Planned Giving via phone, email and mail, documenting donor inquires, and assisting other department members as needed during special events and when colleagues are out of office.
- Helping support other projects and professionals in the Office of Planned Giving
- Running calculations, charts, tables, and reports using the PG Calc software, Oracle, PostGrads systems, CARD (Salesforce) database, and Excel.
- Prepare agendas, take meeting minutes, book conference rooms, provide AV setup, and track on post-meeting follow up as needed.
- Coordinate mailings to prospects and donors.
- Maintain inventory of office supplies as needed.
- Build a network of relevant contacts, and stay informed on current university initiatives and activities.
Special Projects – 30%
- Assist in the design, publication, and production of fundraising materials. Examples include correspondence, newsletters, emails, and postcards sent to constituents.
- Assist in the planning and implementation of events and donor cultivation, as needed.
- Other duties and projects may also be assigned.
To be successful in this position, you will bring:
- Bachelor’s degree and one-year experience or combination of education and experience.
- Demonstrated ability with Microsoft Office suite, especially Word and Excel.
- Familiarity and comfort with using Google Docs and Google Drive
- Knowledge of database systems. Ability to acquire proficiency in Stanford information and financial systems (CARD, Oracle, etc.)
- Ability to work efficiently, juggle tasks simultaneously, meet deadlines, and achieve goals.
- Excellent interpersonal skills and ability to interact with a wide range of people.
- Outstanding communication skills and exceptional attention to detail and follow through.
- Previous experience within a planned giving, fundraising, and/or higher education environment would be a plus.
- Ability to obtain and maintain a California Noncommercial Class license.
Physical Requirements
- Frequently perform desk-based computer tasks, sit, and use a telephone, stand/walk.
- Occasionally light/fine grasping, lift/carry/push/pull objects that weigh up to 10 pounds, writing by hand.
