Job Description

POSITION: Dental Benefit Coordinator DIVISION: Dental

DEPARTMENT: Dental REPORTS TO: Practice Supervisor

FLSA: Non-Exempt FT/PT: Full time


POSITION SUMMARY:

Responsible for the insurance process, review patient accounts to ensure procedures have been properly coded and charges are correct, collects payments. Responsible for contacting the appropriate insurance agency to resolve account collection problems. Dental Benefit Insurance Coordinator documents all correspondences and conversations with insurance companies and governmental agencies, third party payers and patients on patient’s account. Verify patient dental insurance benefits prior to patient’s appointment. Review patient treatment plans with the dentist to help determine the overall cost for the patient’s treatment. Explain to the patient what amount of the dental bill that they will be responsible for and what is expected for deposit prior to start of treatment.

Interacts with patients and families in a professional manner, ensures confidentiality of patient records. Process credit card payments, demonstrate ability to establish effective communication with dental patients, assists dentists with the pre- estimate for insurance companies for treatment plans. Work as a team with the frontline dental staff and clinical team. Assists Dental Director, Clinical Coordinator and Specialty Practice Manager with specialty projects, grant research, school base programs, coordinated dental screening, etc. Must be dependable. Have strong communication skills, be well organized, ability to prioritize and be able to work under pressure with some experience with billing, collections and computer experience and be proficient with Epic, Dentrix and our CPA billing company. Maintain good relationships with the dentists, hygienists, and other health care employees. Detail oriented is a must. Ability to read, analyze and interpret common insurance plans and financial information, draw conclusions. and apply sound judgment in making decisions.

PRIMARY RESPONSIBILITIES:

  • Patient Care


    • Provide oversight of all chairside dental assistance to dentists and hygienists
    • Serve as Lead Clinic Flow Master to monitor chair utilization, promote timely care and foster a positive patient experience
    • Provide on-going supervision and training to the dental assistants to ensure best practices are followed when chairside care is rendered
    • Serve as Lead Dental Assistant to provide guidance and training around competencies and compliance standards for dental assistants and providers as needed
    • Provide clinical support and/or chairside dental assistance as needed


  • Clinical Operations and Administrative Support


    • Provide administrative support the Dental Supervisor in the management of day-to-day clinical operations of the dental practice, including scheduling rotations, trainings, and supervision of clinical support staff
    • In the absence of the Dental Director and Dental Supervisor serve as the administrative supervisor for all staff in conjunction with the Specialty Practice Supervisor.
    • Provides superior customer service by demonstrating responsiveness to patient concerns and to resolve issues in accordance with health center policy and procedures
    • Provide support to front line operations to streamline the delivery of care for all endodontic and periodontal specialty procedures, including coordinating scheduling and pre-payment needs
    • Facilitate on-going maintenance and repair of all major dental equipment
    • Partner with Finance and Building Services to manage the purchasing and installation of all major equipment and facilitate structural repairs and/or updates to the dental clinic as needed
    • Partner with dental supply representatives to manage standing and bulk orders
    • Partner with finance department to process payment of all dental vendor bills


  • Compliance and Infection Control Management


    • Serves as the infection control and compliance officer for the department
    • Manages and completes all BMC monthly compliance reporting, including biological testing, radiation dosimetry report, autoclave, hydrim, ultrasonic and eyewash station reports
    • Ensures compliance with all OSHA regulatory standards and industry requirements in conjunction with CSHC Compliance department
    • Monitor and ensure dental team is compliant with proper PPE guidelines, sterilization techniques, and disposal of bio-hazardous materials
    • Partner with Dental Director and health center compliance team to maintain and submit open for business, hand hygiene, and patient identifier reports on a monthly basis


  • Infection Control Training


    • Attend bi-annual BMC Infection Control Trainings to remain in compliance with sterilization protocols and standards
    • Provide infection control/sterilization training for all new dental assistants and student externs
    • Conduct annual team infection control training and post tests for clinical staff


  • Sterilization Center & Lab Operations


    • Under the supervision of the Dental Supervisor, implement and update the department procedure for the transport and sterilization of all dental instruments
    • Perform all opening, closing and maintenance procedures as described by BMC sterilization policies
    • Maintain order and cleanliness in the dental lab and sterilization area
    • Perform weekly spore testing and maintain log of the results
    • Perform and oversee management of daily, weekly, and monthly maintenance and testing of autoclaves, hydrims, and ultrasonic equipment
    • Provide guidance and training around infection control procedures and compliance standards for dental assistants, student externs, and providers
    • Maintain inventory of all instruments and manage disposal of broken instruments
    • Schedule quarterly preventive maintenance for all dental equipment
    • Manage maintenance of in/out logs for dental laboratory orders that ensures tracking cases to completion
    • Supervise the management and tracking of lab cases, including archival of cases


  • Talent Management and Training


    • Under the supervision of the Dental Supervisor, comanage the training, development, and progress of the dental assistants utilizing performance evaluation tools and document any performance issues or changes in real time
    • Under the direction of the Dental Supervisor jointly assumes responsibility for the hiring, training and management of all Dental Assistants
    • Serves as resource and administrative support for providers


  • EDR Maintenance and Utilization


    • Serve as department DENTRIX (EDR) and DEXIS Superuser
    • Under the supervision of the Dental Supervisor, partner with IT Department to maintain, troubleshoot and update DENTRIX and DEXIS systems
    • Under the supervision of the Dental Supervisor, provide DENTRIX/DEXIS training for staff as needed
    • Promote full utilization of DENTRIX/DEXIS features to optimize patient experience and support modernization of clinical practice


  • Other Duties


    • Partner with department leadership to coordinate and facilitate dental staff meetings and daily huddles
    • Participate in CSHC leadership meetings as needed
    • Partner with other departments to improve oral health integration efforts
    • Performs other duties as requested by supervisors


Skills and Qualifications


    • Minimum requirement 5-10 years of experience as licensed dental assistant
    • Previous managerial experience of projects and/or staff preferred
    • Excellent oral and written communication skills
    • Demonstrated proficiency in DENTRIX/DEXIS software use
    • Knowledge of management of dental prior authorizations, pre-estimates, and denials
    • Knowledge of dental practice operations
    • Excellent interpersonal, verbal, and written communication skills
    • Ability to manage multiple tasks, work under pressure, and prioritize workload.
    • Strong organizational skills and attention to detail is essential.
    • Ability to establish and maintain effective working relationships with patients and team members


Competencies, Skills, and Attributes:


    • High School Diploma or GED
    • Certified Dental Assistant
    • Knowledge of dental coding and billing procedures
    • 5-10 years of experience in Dental Front Office environment
