Essential Functions & Responsibilities:
Oversees CSR staff and delegates duties –
Evaluates performances of CSR staff daily, and deals with problems or
communicates them to the hospital manager.
Sets goals and holds discussions with CSR members.
Participates in interviewing/hiring new CSR staff.
Is responsible for training new CSR staff members.
Generates the monthly schedule for the CSR staff.
Makes sure that breaks and lunches are scheduled and taken.
Supervises CSR duties including –
Client call backs
Filing system
Attendance and vacation time
Overall appearance of front office area and staff
Performs CSR duties –
Answer phones and greets clients, preferably by name, as they arrive.
Take and relay phone messages accurately.
Utilize practice management software to create, update client/patient information and schedule appointments.
Enter client charges, collect payments, and print receipts.
Schedules appointments and surgeries, assigning available time efficiently.
Facilitate client’s medication refill requests.
Monitor multiple emails and handle/forward information appropriately
Maintain an individual cash box on a daily basis and balance it at the end of each shift, following the drop box and reconciliation report protocol established by the bookkeeping department.
Participate as a supportive, flexible and enthusiastic member of the Small Animal Team.
Miscellaneous lead receptionist responsibilities –
Manages phone system with regards to phone tree, after hours transfers, ACD phone system.
Update doctors schedule in the practice management software.
Sends out and follow up client reminders.
Composes and distributes front office memos.
Sets up CSR meetings.
Maintains front office machines.
Delegates or performs other duties as assigned by the hospital manager, doctors, or administrative staff.
