Required Qualifications (as evidenced by an attached resume):Associates Degree (foreign equivalent or higher). Computer proficiency with Microsoft Office including Microsoft Excel. Experience interpreting data and preparing statistical summaries and reports. Previous administrative experience in a healthcare setting.
Preferred Qualifications:Bachelor’s Degree (foreign equivalent or higher). Two years of administrative experience in a healthcare setting. Experience handling confidential information with discretion and professionalism. Fluent in second or multiple languages.
Primary Purpose: The COVID 19 Contact Tracer/Leave Administrator for Human Resource Services is responsible for all direct COVID 19 communication with employees, Health Departments, SBU Health Line, and Leave Administrators, all tracing efforts and required information reporting and analysis.
This position will be the first point of contact for employees to report exposures or potential exposures of COVID 19. The incumbent will ensure all exposed employees are properly identified and notified of potential exposure to the virus. This includes tracing persons on campus whom they may have come in contact with and providing notice and guidance in the interest of their safety and that of the campus at large.
The incumbent is responsible for recording and managing all required information related to exposures and potential exposures, as well as analyzing information to report on trends, surges in exposure, campus hotspots and forecast for future preparations. The incumbent will also serve as Leave Administrator for COVID19 related leaves of absence for State and Research Foundation employees.
The ideal candidate will have excellent interpersonal skills, as well as exceptional organizational and communication skills. They will demonstrate the ability to interact professionally and empathetically with culturally diverse individuals during a time of crisis and distress.
Duties and Responsibilities: Contact Tracing, Compliance and Communication
  • Responsible for the daily review of all Health Information Line entries for West Campus, Health Science Center and School of Medicine employees who report COVID 19 symptoms, confirmed positive for COVID-19, or have been exposed to individual(s) who are presumed or confirmed positive for COVID-19.
  • Serves as liaison between subject employees, identified exposed employees, supervisors, Health Department, SBU Health Information Line. Ensures all phone calls and emails are addressed in a timely manner.
  • Responsible for communication with the subject employee, regarding guidelines, guidance, leave policies and follow up protocols, and subject employees direct supervisor, regarding work rules, guidelines and cleaning protocol and, if required, notification is sent to the Health Department(s) and the SBU Health Information Line.
  • Responsible for communication to include work rules and guidance with any identified employee(s) and their direct supervisor with whom the subject employee identifies as having been in contact with in an effort to keep the Campus community safe.
  • Enforces all policies and procedures. Responsible for updating COVID 19 Contact Tracing and Compliance policies and procedures, as needed.
  • Responsible for immediately reporting issues of non-compliance to the Director of HRS and the Director of Labor Relations
  • Responsible for the daily review of the Employee Health – Telework spreadsheet for entries of employees on the West Campus, Health Sciences Center and School of Medicine who have been cleared by the Health Line to telework during the pandemic and/or until further notice.
  • Services as primary liaison between and among the subject employee, subject employees supervisor, and the SBU Health Line. Ensures emails and phone calls are addressed immediately.
  • Ensures Telework notification, including guidelines is sent to the subject employee, employee(s) direct supervisor and, if required, notification is sent to the SBU Health Information Line and the spreadsheet is updated.

Contact Tracing Reporting and Analysis
  • Ensures Health Information Line spreadsheet is updated daily and accurately.
  • Responsible for recording and managing all required information related to exposures and potential exposures
  • Provides detailed analysis reporting on trends, surges in exposure, campus hotspots and forecast for future preparations etc. and presents information to Senior Leadership, when needed.
  • Coordinates requests between the Health Information Line and HRIS.
  • Serves as liaison with SUNY for COVID-19 Reporting.
  • Ensures SUNY HR system is updated as new employees are identified by the SBU Health Line.
  • Responds to all information inquiries from SUNY timely.

COVID-19 Leave Administrator
  • Responsible for Leave Administration for COVID-19 requested leaves of absence.
  • Serves as primary contact for all employee COVID-19 leave requests, responding to phone calls and emails in a timely manner.
  • Responsible for communication of approved leaves with subject employees, direct supervisors, and Vice President Coordinators.
  • Responsible for notifying Benefits, Time & Attendance, Appointments and Payroll for all approved COVID-19 leaves to include duration, pay status and type of approved leave.
  • Creates COVID19 Leave Policy and Procedure for HRS. Responsible for updating policies and procedures, as needed.
  • Responsible for immediately reporting issues of non-compliance to the Director of HRS and the Director of Labor Relations

Special Notes:This is a Management Confidential position. This is a part time appointment. FLSA Non-Exempt position, eligible for the overtime provisions of the FLSA.
These are temporary positions expected to last up to one year, with the possibility for extension
