CONTRACT ADMINISTRATOR

CTM Inc., Colorado Total Maintenance, a large commercial landscape & maintenance contractor is accepting resumes for a Contract Office Administrative to our team.
Candidates with prior history in irrigation, landscape maintenance or landscape construction a plus. Training in all aspects of the industry is available for the right person. We offer experienced team support and proven reliable, organized systems to maximize productivity.

Responsibilities to include the following tasks:
- Client/contract management
- Accounts payable – process purchases and receipts, gas card administration
- Accounts Receivable – weekly/monthly billings, cash receipts
- Inventory-management, tracking and balancing
- Mobile time sheet management
- Manage long term city contracts for compliance and requirements
- Issue & manage purchase orders
- Support field team members-order materials, call vendors, rentals, maps
- Understanding of certified wages & requirements
- Collaborate with all stakeholders to ensure staff is efficiently and effectively running
- Job Costing-discernment, reporting, analysis, create, research & track reporting as needed
- Knowledge of field change order and RFI procedures and management of such documents
- Reporting, meeting notes, other projects as needed
- Support Operations Manager & Field Team
- Permit application and license management & project locates
- Bids, subcontractor agreement, Job set up management
- Annual pricing and material procurement
- Develop and maintain procedures and policies
- Month end and year end close out of contracts, jobs, inventory
- Assist with employee relations
- Assist with office management
- Support seasonal hiring of staff and subcontractors
- Reporting to Clients
- Assist with incoming phone calls, deliveries, ordering
- Estimating assistance-prepare, submit, tracking
- File management paper and electronic
Job requirements:
Advanced skills in Excel, Outlook, Word
Previous Construction admin experience 1-year+
Able to lift 40-lbs
Pass E-verify and a criminal background check
Read/write English
Full mobility and use of limbs
Hearing and sight needed for most tasks
Verifiable job history
Position will work under direction of Operations Manager, Company Owners and requires a self-motivated, quality oriented, driven to excellence, flexible person willing to learn as well as one able to bring prior job experience to situations.

We have established contracts with Cities and Municipalities and work as a General Contractor direct to the client on most projects. Our company is a woman-owned, small business certified firm preforming many trades in house. Family owned and operated, we strive to reinvest profits back to our company via employees and new equipment. We work for select General Contractors and believe in strong relationships that promote teamwork and quality projects. CTM provides Commercial Landscape Services - creating, maintaining, and installing outdoor recreation spaces for Cities, Districts, Schools and Municipalities. Our focus is on large and medium size commercial irrigation systems, parks, trails, playgrounds, and specialty projects. We have long term contracts with local cities allow us to be short listed for many projects. CTM regularly bids and works for the Cities of Denver, Lakewood, Arvada, Englewood, Commerce City, Thornton and Centennial as well as Denver & Jeffco Public Schools .
