Harborview Medical Center has an outstanding opportunity for a part-time (80% FTE, 32 hours/week), day shift, CONFERENCE COORDINATOR 2.

The Harborview Abuse and Trauma Center (HATC) is a program of Harborview Medical Center. We are looking to hire a part-time, day shift, Conference Coordinator 2 for our evidence based mental health learning collaboratives. This position is responsible to work with the core and regional trainers to provide web based and in-person training and consultation services.

RESPONSIBILITIES

  • Plans and implements educational learning collaboratives and trainings, including all web-based training related tasks.
  • Sets up all training registration and related information.
  • Creates on-line registration and tracks potential participants on a master list
  • Contacts hosting organizations, speakers and presenters and arranges for conference facilities, meals, lodging.
  • Communicates with host, presenters and participants by sending welcome, save the date and confirmation letters.
  • Ensures HATC audio-visual equipment is complete and in working order.
  • Remains on site during in person trainings (as needed) and live monitors all online trainings to address any issues that arise.
  • Determines and arranges for the purchasing of conference supplies based on annual budget.
  • Delivers CEU and consult completion certificates.
  • Ensures all conference related presentation materials are accurate and provided to participants.
  • Develops and sends invoices to organizations for all trainings that require payment and ensures payments are tracked to HATC department, working with HATC program director to address ay unpaid invoices.
  • Arranges for distribution of all training materials, either through on-line access or printed materials, depending on the training.
  • Organizes and creates a Toolkit that includes pertinent requirements for training, including setting up call groups, reminder call emails through Toolkit with all required information.
  • Uses Toolkit to track, document and report related organizational CEU requirement completion rates.
  • Tracks payments from training participants in conjunction with HMC and works with organizations to ensure payment is received.
  • Develops and maintains organized folders of resource information on presenters, announcements, handouts, correspondence related to conferences, bios and resumes, and site and catering information.
  • Participates in departmental and program Quality Assurance activities as directed.

    REQUIREMENTS

    High School graduation and four years' of progressively responsible work experience involving public contact such as sales promotion, public information, or in the hospitality industry
    OR
    equivalent education/experience.
