The Compliance Coordinator is responsible for providing administrative support to the FocusOne Operations staff as it relates to compliance documentation and the ongoing service of FocusOne clients.
JOB DUTIES
Quality Assurance *
- Verify compliance documentation (i.e. licensure, certifications, immunizations, etc.) uploaded into FocusOne Connect is accurate according to client specifications
- Communicate updates to Operations Consultant and Client, advising if target start date for Supplemental Employee will be met
- Maintain expiring documents for Supplemental Employees; follow up with Affiliate Provider(s) 45 days in advance to obtain expiring compliance items and thereafter until document is updated; update Client and Operations Consultant when document is set to expire within 2 weeks and thereafter until document is updated or Supplemental Employee is pulled from assignment
- Verify FocusOne policies and procedures are followed relative to ensuring employee documentation is complete and updated as required
- Document notes associated with each assignment in FocusOne Connect software
- Audit Supplemental Employee files to ensure expiration dates are entered correctly
Communication *
- Ensure that incoming and outgoing communications, including telephone and email, are handled efficiently and professionally
- Ensure that confidentiality of information is maintained in accordance with division policy and corporate protocols
Division Document Flow & Filing Systems *
- Ensure that all documentation is handled in an efficient manner, minimizing duplication and redundancy whenever possible
- Ensure that systems for organizing the flow of documentation are managed effectively, and that documents intended for distribution, mailing, and/or filing are handled as expediently as possible
- Make recommendations for improving the quality of document content, flow, and organizational storage to the Director of Operations as deemed prudent
Administrative Support *
- Answer telephone and route calls appropriately
- Process and manage incoming and outgoing correspondence, including US mail and FOS inboxes
- Update Placement Documents in FocusOne Connect Client Configuration tab, according to client specifications
- Provide Operational Support to Business Development Executives as needed
Reports
- Assist with the compilation and distribution of routine division reports as directed by Management, including reports needed by Management or by sister departments
- Research and provide information requested by Client or Operations Consultant

KNOWLEDGE, SKILLS & ABILITIES
The ability to:
- Utilize a touch-tone telephone, view a PC screen, type at least 35 words per minute, and demonstrate proficiency in basic Windows operations
- Speak and write professionally and follow oral or written instructions

EDUCATION & EXPERIENCE
- Minimum of two years’ experience in an administrative professional setting
- Previous experience in medical compliance preferred
- High school diploma/equivalent required. Secondary degree desired but not required
WORK SCHEDULE & ATTENDANCE
Employee will follow the work schedule assigned by the Manager and must comply with the attendance and punctuality requirements established by their department. A typical Compliance Coordinator schedule consists of 40 hours per week, Monday – Friday with a one-hour lunch break. Attendance is mandatory.*
WORK ENVIRONMENT
The position will be performed indoors in normal office working conditions. Noise levels are generally quiet and sitting/walking requirements are frequent to constant. The duties of this position must be performed in a company approved work facility/location.
