Clinical Office Manager , Fresno CA
Purpose:
The Office Manager position is responsible for the oversight and direct supervision of the new patient schedulers, PBX, transcription, medical records, scheduling, and front desk departments in each office. The Office Manager is responsible for ensuring that staff is efficient, professional and providing exceptional patient service. Ensures daily functions are properly staffed to accommodate pre-arrival patient flow and that operations run smoothly throughout the day. Trains and develops employees to achieve the goals and objectives of the functional areas. The position is responsible to ensure policies and procedures for areas of responsibility are adhered to, monitors performance of staff, and resolves patient care and departmental issues. This position is also responsible for managing the upfront collections process. Duties and assignments may vary at the discretion of management.
Responsibilities/Essential Functions (other duties as assigned):
· Effectively manages daily staffing requirements. Addresses fluctuating workloads based upon patient flow and physician schedules. Maintains a monthly calendar of staff schedules, coordinating and approving time off requests and staff sick call coverage.
· Monitors and approves Time IPS bi-weekly payroll, providing to Human Resources in a timely manner. Addresses disciplinary issues arising in area of responsibility, including verbal and written warnings, in accordance with company policy. Monitors performance of staff, conducting introductory and annual evaluations in a timely manner. Trains and orients new staff members.
· Handles and resolves any patient conflicts and issues at the point of service, with tact and professional diplomacy. Keeps Operations Director informed of any serious or potentially sensitive issues.
· Effectively monitors the management of physician schedules daily, assesses flow of patients, and rescheduling of patients as needed and/or requested. Acts as a point person for rescheduling of patients. Facilitates next day schedules and maintains a call-back list.
· Acts as a liaison between nursing and physician staff, Patient Services Representatives, Schedulers, PBX and the New Patient Department. Resolves issues as they arise, with the assistance of the Operations Director, as needed.
· Ensures compliance in electronic medical record record/chart management and all transcribed documents. Ensures staff complies with HIPAA regulations.
· Maintains policies and procedures for areas of responsibility, ensuring compliance and consistent application.
· Resolves patient care and departmental issues involving staff in areas of responsibility, utilizing tact and diplomacy.
· Implements and maintains workflow processes for best practices to improve the performance of the front end billing operations. Ensures data is secure and accurate for billing purposes.
· Maintains and establishes collection benchmarks for front desk and Financial counselor, provides reporting and data analysis for collection ratios.
· Promptly completes other duties and projects as assigned by management and leadership
Experience, Qualifications/Education:
· High School Diploma or GED required
· Bachelors in business administration or healthcare field preferred
· Minimum 5 years management experience, preferably in healthcare environment
· Must be familiar with compliance regulations and billing guidelines, experience in a variety of healthcare business and clinical systems
· Current CPR certification required
· Knowledge of computer/telephony support, preferably in a health care environment
· Strong customer service background, preferably in health care environment
· Excellent verbal communication skills
· Competence with computer processing functions and other standard office equipment
· Ability to manage and prioritize multiple tasks
· Ability to calmly and professionally resolve customer issues with diplomacy and tact
· Ability to work independently with minimal supervision
· Strong organizational skills
Working Conditions:
· This position functions primarily indoors in a medical / business environment. Employee may be subject to blood borne pathogens, radiation, bio waste and other medically-related factors, with exposure to moderate noise levels.
· Visual acuity to read and compute screen and paper documents; close and distance vision, peripheral vision depth perception, ability to adjust focus; hearing acuity to converse with staff and customers;ability to walk, stoop, bend, kneel, and lift and move 25 pounds on a regular basis; ability to sit for hours at a time. Employee will be exposed to moderate noise levels, interruptions, and occasionally asked to work evening and weekends as needed.
