Position Highlights:
Day Shift (Mon-Fri; 1PM-5PM or sometimes may need to start at 11:00AM).
Competitive candidates will have flexible availability to cover vacation and days off.
Provides general coordination of clinic activity and information.
In addition to the duties required by the Clinic Coordinator, this position will add the following duties: enter charges in the billing computer system, perform coding of medical information given by providers, manages computer workque and denial lists, manages weekly information grid.

Principal Duties and Responsibilities:
Provides coordination of clinic activities.
Coordinates information flow into and out of the clinic.
Answer phone calls efficiently and courteously. Provide information as requested or route calls appropriately.
Schedule, cancel or reschedule patient appointments.
May call patients 1-2 days in advance of their appointment to confirm each patient arrival (if applicable).
Files information in Medical Charts.
Work as part of the clinic team and accepts other duties as requested.
Handles a variety of office details that involve action, including, but not limited to: retrieving and sending mail, preparation of medical charts, filing, sending and receiving faxes.
Exemplifies professionalism by maintaining a courteous demeanor in all communications with departmental staff, clinical staff, physicians and outside visitors.
Trouble shoots problems by seeking out the appropriate people and/or resources.

Performs general non-patient contact and patient contact duties.
Triages incoming phone calls.
Distributes incoming and outgoing mail and faxes.
Prepares and dissimulates clinic correspondents.
Maintains and updates the clinic files.
Greets patients at front desk.
Checks patients into and out of the clinic.
Handles F/U appointments for the different psychiatry departments
Receives cash for payments of co-pay, any professional or hospital balances and other medical billings.
Posts payments in billing computer system.
Reconciles end-of-day receipts and encounters.
Reconciles end-of-month closures.
Ensures to warm transfer scheduled appointments to registration that have elapsed or a new to the clinic.
Updates HIPPA and PBC, consent everywhere, PHQ-9, No Show and the Child BASC's and Child Agreement form accordingly when expire in Epic, and for New Patients
Sends Medical Record Request to HIM (Health Information Management)
Keeps Physicians PTO in Calendar to ensure efficiency
Screens a triages all incoming calls
Coverage for Day Hospital Charge Entry, TMS Charge Entry and scheduling monthly appointment.
Ensures to review EPIC Dashboards, and complies with collections of co-pay and balances.
Distributes Pressganey's surveys to patients
Maintains inventories of front desk items needed for the front desk, PPE and safety stations on first and second floor, and coffee supplies for the physicians and attending's.
Maintains and refills coffee stand for physicians
Assist as coverage for MA's, w/ faxes to physicians via EPIC, alerting them about patient's medication.
Custodian and Cash Deposits deliveries to the main campus

Promotes a positive and productive environment, encourages teamwork and communication.
Follows all hospital, departmental, and office policies and procedures.

Knowledge, Skills and Abilities:
High school diploma required but college coursework preferred.
Three to five years medical office experience.
Basic computer knowledge required
Attention to detail and accuracy
Excellent customer service and interpersonal skills
Sensitivity to patient health information and protection of confidentiality
Ability to utilize EPIC efficiently (Please Note: Employees hired into this role must successfully pass the EPIC scheduling test with 3 attempts, within 45 days of completion of training.)
Ability to sit for several hours each day and remain professional and calm under stressful situations
Ability to adapt to change and be flexible
