Job Description

UDR, Inc. is now hiring a Centralized Sales Admin Coordinator to join our team at our corporate office in Highlands Ranch.

GENERAL SUMMARY OF DUTIES: Provides exemplary administrative and customer support to the Centralized Sales Team and Leadership. Position will focus on delivering accurate and timely data tracking, reconciliation, reporting and auditing of departmental team/program sales performance. Position will also provide administrative support to other internal cross- functional sales teams, team initiatives and projects.

ESSENTIAL FUNCTIONS:

1. Reconcile the Centralized Sales Team leases on a weekly basis. Maintain the Lease Master excel document for publishing to the senior executive team. Determine if Centralized Sales leases follow the rules of the department. Document the sales cycle history.
2. Publish weekly, bi-monthly and monthly program/team performance data to leadership.
3. Update/audit all lease records on a weekly/yearly basis to account for skips, evicts, cancels, waitlists, early move-in/outs, and any changes to key data points.
4. Assess, track and publish performance metrics by Specialist on a weekly basis, including but not limited to lead follow-up volume, conversation audits and leasing velocity.
5. Prepare and send monthly Lost Prospect Surveys. Assign positive survey responses to the corresponding pod/team member and categorize feedback into a digestible reporting format to be distributed to each Regional Manager.
6. Complete monthly conversation audits of each Centralized Sales team member to ensure compliance with lead management and department policy and procedures best practices.
7. Provide exemplary customer service by participating in property lead management clean up projects as needed.
8. Work closely with internal cross-functional UDR departments to improve access to data and reporting that drives department support/decision making.
9. Track company term reporting against open recs on a weekly/monthly basis. Make recommendations for future property support/onboarding.
10. Assist with department structure and scope of policies and procedures, best practices, reporting, KPI’s and goals. Identify strategic opportunities for department growth and innovation.
11. Act as a back-up for the Centralized Sales, Renewals, NTV, STF and Corporate Housing teams as needed. Cross train to provide seamless support.
12. Maintain Centralized Sales department trackers in shared folders accessible to the entire Sales & Marketing Department.
13. Perform other duties as assigned or as necessary.

PERFORMANCE REQUIREMENTS: Knowledge of organizational policies and procedures. Ability to apply policies and procedures to solve everyday issues. Knowledge of basic office practices and procedures.

Knowledge of principles and methods for selling and promoting apartment properties. Must know and follow the Fair Housing laws. Capable of flexibility in office space including mobile office tools such as: a laptop computer, a tablet, and a mobile phone.

Must demonstrate excellent reading comprehension and written composition skills. Proven exceptional communication skills, both written and verbal. Ability to work in an autonomous, self-directed environment. Competent and skilled working in conjunction with company managers, vendors, prospective renters, residents, and associates.

Demonstrated proficiency in the use of the internet and internet searches. Must be skilled in word processing, drafting correspondence, and memoranda. Demonstrated advanced proficiency with all MS Office software applications to include Office, Word and Excel.

TYPICAL PHYSICAL DEMANDS: Requires prolonged sitting, some bending, stooping and stretching. Occasionally lifting items weighting up to 30 pounds. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment. Requires normal range of hearing and eyesight to record, prepare, and communicate appropriate reports. Extensive internet research and excel documentation requires the ability to sit for long periods of time. Regular and consistent attendance on the job is an essential function.

TYPICAL WORKING CONDITIONS: Normal office environment. Occasional evening or weekend work. Occasional travel in the United States to UDR properties.

EDUCATION AND EXPERIENCE:

1. Bachelor’s Degree or equivalent combination of education and experience required.
2. Minimum of 2 years’ experience working in a job that required daily proficiency in Excel.
3. Property management experience is a plus.
4. Must have and maintain a valid driver’s license unless otherwise noted.

Pay Range:
  • $21.93/hr. (minimum) - $31.97/hr. (maximum), depends on experience
Bonus Potential:
  • Eligible for 10% annual bonus potential, based on personal and company performance
