Receptionist/Cashier (Full-Time)
As our new receptionist/cashier, you will be the voice and face of our dealership. So we need someone with a winning attitude and a professional appearance. While we prefer someone with experience, candidates with great potential will also be considered. To be a success in this position you will need to be reliable, professional, likable, and ready to make a move toward a long-term career and not just another job. On a typical day, this will include:
- Understand and follow receptionist processes and procedures
- Perform clerical duties such as typing, proofreading, data entry, filing, photocopying, faxing, and sorting mail
- Receive visitors and obtain the name and nature of business
- Update telephone directory
- Direct clients to lounge and refer clients to appropriate personnel for vehicle status updates
- Diffuses client concerns and directs them to the appropriate team member for assistance
- Monitor demo car keys and log demo car reports as appropriate
- Attend department meetings
- Receive cash, checks, and credit card payments from customers and record the amount received. Operate cash register.
- Make a change, cash checks, and issue receipts to customers.
- Ascertain and record totals shown on the cash register tape, verify against all cash, checks, and credit card payments on hand, post to the computer accounting system. Any overages or shortages in excess of $5.00 should be reported to the Comptroller immediately.
- The Fixed Operations Manager should be notified of any customer pay repair orders and counter tickets left unpaid at the end of the second day of the repair order date.
- Refer customers who have additional questions to the appropriate person.
- Handle all customer complaints with integrity and poise and take or refer the complaining customer to the appropriate individual.
- Filing accounting copies of repair orders and parts tickets numerically.
- Add up and send one deposit to the bank daily.
- Reconcile and replenish cash boxes and petty cash.
- Close all repair orders and parts tickets daily.
- Close the Accounts Receivable by the 2nd of the month.
- Run the Accounts Receivable statements and mail them out monthly.
- Make collection calls on any receivables over 30 days and send any collection letters if necessary.
- Handle customer inquiries on all accounts receivable and provide any information requested.
- To bring to the Comptroller and department manager’s attention any problem accounts. Identify an action plan with these accounts and with the Department Manager to carry out the plan.
- Keep the register area neat and orderly at all times.
- Answers multiple incoming lines in an efficient, timely manner
- Notifies the Comptroller of any maintenance problems with the telephone system.
- Communicates with callers in a professional, friendly, and efficient manner, striving to minimize the time they are put on hold.
- Maximize the usage of the voice mail system. Take a message if the caller requests.
- Review sales schedules daily, and keep abreast of who is in and who is out.
Qualifications:
- Must speak clearly on the telephone and convey an image of professionalism and competence to callers.
- Basic mathematical aptitude
- Must be able to lift boxes of computer paper to refill printer (approximately 10-20 lbs.)
- Climb steps to upstairs
- Self-motivated, able to effectively prioritize tasks and organize the schedule.
- Knowledge of bookkeeping procedures.
- Ability to work in a constantly busy atmosphere.
- Ability to be versatile in working with changing priorities of position responsibilities.
- Ability to make evaluations, reach conclusions, and solve problems based on subjective or objective information, knowledge, and experience.
- Ability to read and comprehend instructions and information.

Education and/or Experience:
High school diploma or GED; 1 to 3 months of related experience and/or training; Candidates with an equivalent combination of education and experience will also be considered.
