Job DescriptionThe National Renewable Energy Laboratory is seeking a Business Support Specialist for the Hydrogen Power Group (located in the Energy Systems Integration Facility (ESIF) in Golden, CO). The successful candidate will also support other Business Support team members in their absence and on as-needed basis.
The work of these groups includes national stakeholder engagement and outreach activities as well as ongoing engineering and science research.
This position can be fast paced and dynamic at times. Excellent communication, organizational, interpersonal and multi-tasking skills, with five or more years administrative assistant experience, providing support at the manager level and to their staff are critical to successfully executing the duties of the job.
This is a very customer-oriented position and you may be asked by internal staff to assist with a variety of tasks, not limited to the job duties described below. The successful candidate must be able to work with a wide variety of day-to-day issues and work styles.
Job Duties
To perform in this position successfully, an individual must be able to perform each essential and appropriate duty satisfactorily.
Duties include but are not limited to;
- Execute administrative functions for busy group with minimal oversight, providing timely, accurate, and effective administrative support for the programmatic, business, and operational functions of the Hydrogen Production Power and Storage Group.
- Assist the Business Support team lead and other Business support team members when needed
- Purchase orders, requisitions and invoice processing
- Coordinate foreign and domestic travel including submitting requests, tracking approvals, reserving airfare, lodging, and rental cars, and processing expense reports
- Meet and event planning and scheduling, including coordination and logistics for on-site and potentially off-site meetings as well as webinars
- Onboard new employees
- Act as a resource for staff on institutional processes, procedures, and requirements, and provide input and recommendations on organization-specific administrative practices.
- Work effectively with and communicate clearly with staff from diverse cultural and technical backgrounds, and collaboratively as part of a team.
- Process work orders, move forms, and visitor approvals
- Interface with outside entities and individuals including subcontractors, vendors, speakers, and others as needed.
- Work in numerous online administrative tools
- Compose and edit letters, documents and presentations
- Assist with publication preparation and documentation

Basic QualificationsHigh School Diploma or equivalent and 1 or more years of experience or equivalent relevant education/experience. Or, relevant Associate's Degree or certification program of comparable scope or equivalent relevant education/experience. Solid knowledge of the job. Substantial understanding of general aspects of the job with a broad understanding of the detailed aspects of the job. Intermediate skills in applicable software packages and office equipment. Basic project administration skills. Ability to prioritize work. Proficient in written and verbal communications. Very good team and interpersonal skills..
Additional Required Qualifications- Five years of previous administrative experience required
- Experience with Microsoft SharePoint, Oracle Business Suite, Workday and Concur
- Experience with webinars and other long-distance collaboration software and hardware
- Experience carrying out projects from inception to closure and the ability to prioritize work.
- Demonstrated ability to work as part of a team and excellent interpersonal skills
- Ability to multi-task and work well under pressure when necessary
- Excellent understanding of standard office equipment
- General administrative skills and knowledge
- Understand and maintain confidentiality

Annual Salary Range (based on full-time 40 hours per week)Annual Salary Range: $40,500 - $64,800Offers will typically be made in the bottom half of the listed range. NREL takes into consideration a candidate’s education, training, and experience, as well as the position's work location, expected quality and quantity of work, required travel (if any), external market and internal value, including seniority and merit systems, and internal pay alignment when determining the salary level for potential new employees.
