Purpose of PositionInterviews are anticipated to be conducted within 2 weeks of the closing date.
Why does the job exist?To provide administrative and secretarial support to the Santa Fe field office, Manager, Safety, Ombudsman and Compliance positions. The Incumbent will provide court monitoring assistance primarily for hearings held in the Santa Fe field office.
How does it get done?Support field office programs by providing administrative and secretarial support to include:- Producing correspondence, preparing and submitting reports, collecting travel and training authorizations, completing travel reimbursements, process Special Order Requests and printing business cards.
- Ensure supplies are maintained in the Santa Fe Office;
- Provide communications support;
- Prepare handouts or manuals for presentations, training and outreach;
- Prepare correspondence for mailing to include distributing incoming mail;
- Keep all updated documents and reports in Field Programs Share Drive;
- Provide support for Safety, Ombudsman and Compliance Programs as directed by Field Office Manager;
- Certification as a Court Monitor completed within 6 months of hire;
- Monitor, record, log hearings and assist either in person or via video conference and coordinate the dissemination of all documentation related to these hearings;
- Proficient in Microsoft Office applications.
Workers' Compensation Administration
Ideal CandidateThe ideal candidate will have experience in administrative support and be able to assist multiple managers and programs at the same time. Arrange meetings, conferences (to include video and telephone), and travel to include the preparation of agendas and materials, taking meeting minutes, and composing drafts of proceedings. The candidate needs be proficient in the use of office equipment to include scanner, copier or multifunction devices, and have Court Monitoring experience.
Minimum QualificationHigh School diploma or Equivalency and one (1) year of experience in office administration, budgeting, purchasing, finance, accounting, auditing, cash management and/or contract management. Substitutions Apply. See Substitution Table below.

Must possess and maintain a valid New Mexico Drivers License. Certification as a court monitor or ability to become certified within 6 months of hire is required.
Working ConditionsExecutive Order 2021-057 requires all employees with the State of New Mexico to provide either proof of COVID-19 vaccination or proof of a COVID-19 viral test every week.
The Public Health Order (on Vaccination) dated August 17, 2021, requires Congregate Care Facility Workers and Hospital Workers to be fully vaccinated.

Works is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending, lifting and reaching may be required. Ability to complete assignments with a high level of accuracy within strict time constraints. Frequent use of office machine and equipment. Greeting and directing the public in person or via the telephone. Must be able to life 20-30 lbs. Occasional statewide travel may be required. Experience using Microsoft Office applications are also required.
