Job Description

Bookkeeper/ Administrative Assistant:

Our company has an immediate opening for a full time Bookkeeper/Administrative Assistant. We are looking for an individual who is efficient and comfortable being a member of a team. The ability to multi-task, while maintaining complex schedules and managing administrative support, is essential in this position. The ideal candidate for this job is resourceful, a good problem solver and organized.

Bookkeeping Duties Incudes:

  • Account Receivables
  • Responsible for all monthly invoicing
  • Submit Invoice online through customer’s systems
  • Act as the point of contact for customer billing
  • Process credit card payment
  • Review new contract billing instruction
  • Responsible for A/R collection
  • Maintain Contract Balance
  • Participate in internal and external project audits as required
  • Purchasing
  • Responsible for ordering, receiving and inventory merchandise
  • Provide other accounting task as required
  • Administrative Assistant
  • Greet and welcome guest to the office upon arrival
  • Organize and schedule meetings and appointments.
  • Maintain contact lists.
  • Produce and distribute correspondence memos, letters, faxes and forms.
  • Assist in the preparation of regularly scheduled reports.
  • Develop and maintain a filing system.
  • Order office supplies.
  • Implement and monitor programs as directed by management, and see the programs through to completion
  • Generate memos, emails and reports when appropriate
  • Assume responsibility for maintenance of office equipment, including computers, copy machines and fax machines
  • Maintain office supplies by checking inventory and order items
  • Respond to questions and requests for information
  • Answer incoming calls and assume other receptionist duties when needed
  • Other duties as assigned

Skill Requirements:

  • Associate’s degree in Accounting or 3+ years’ experience in Accounts Receivable
  • Basic knowledge of accounting
  • Experience in government invoicing
  • Proficiency in QuickBooks, MS Office with expertise in Microsoft Word, PowerPoint and Excel
  • Ability to analyze and revise operating practices to improve efficiency
  • Independent worker and comfortable working in a fast-paced office environment
  • Exceptional writing and communication skills
  • Superior organization skills and dedication to completing projects in a timely manner
  • Most be an US Citizen

Salary Range: 40k – 50K

Security Clearance: Candidate must be a US citizen and will be subject to a government security investigation to meet eligibility requirements for access to classified information if required at a later date.

Job Type: Full-time

Pay: $40,000.00 - $50,000.00 per year
