Job Description

Job title: Benefits Representative

Department: Benefit Administration

Reports to: Benefits Administrator

Supervises: N/A

FLSA Status: Non-exempt

Position Summary:

The Benefits Representative is responsible for the maintenance, and day to day activities of Benefits Administration. The Benefits Representative sends required correspondences to participants, manages returned mail, handles all new participant additions and participant terminations in accordance with federal and state regulations. The Benefits Representative responds to participant questions regarding payment, enrollment, or notices. This position includes both remote and onsite work.

Responsibilities include, but are not limited to the following:

Essential Functions:

  • Benefit Billing Servicing
  • Sends out invoices, coupons and required notices in a timely manner according to Federal and State regulations and Cushion’s procedures
  • Maintains all participant and client records, reports, and files to provide historical reference; maintaining accuracy of database by providing entries, updates, receives and processes payments, and ensures database is cross-checked
  • Verifies the accuracy of data after entry/import, following operational policies and procedures to detect and correct errors
  • Processes all qualified beneficiaries in accordance with laws
  • Ensures new participants are enrolled in appropriate benefit plans and are sent welcome information to inform them of Cushion’s processes and billing
  • Maintains participants’ payment status, sending out late notices, insufficient fund notices, and terminating participants if payment is not received when applicable
  • Answers and responds to all plan participants’ questions (through email and phone calls); escalating participant calls to Benefits Specialists where appropriate
  • Collects returned mails and validates addresses. If no valid address can be found, the client is notified and documentation is saved as the attempt to notify

General Inclusive Tasks Keeps supervisor appropriately informed of area activities and of any significant problems; escalates client or participant issues when necessary using good judgement

  • Maintains client confidence and protect operations by keeping all information confidential
  • Assures all tasks and processes are performed in accordance with Cushion’s policies and procedures
  • Demonstrates and encourages alignment with Cushion’s vision, mission, and core values

Qualifications

  • Education - High School Diploma or GED equivalent
  • Skills - Oral and written communication; exceptional customer service; ability to practice discretion and confidentiality; ability to operate various software programs, spreadsheets and database programs
  • Experience- Proficient in Microsoft Word, Excel, PowerPoint, and Access; Experience in customer service

Environmental Conditions and Physical Demands: Employee spends a majority of time seated; working at a desk in front of a computer monitor. Manual dexterity sufficient to reach/handle items and work with the fingers. Employee is required to do some standing and walking. Employee works in a well-lighted, heated and/or air-conditioned indoor office setting with adequate ventilation.
