Full Job Description – Assistant Office Administrator / Billing Coordinator
We are looking for an Assistant Office Administrator/Billing Coordinator to assist in the smooth running of our law firm office. Your role is to help create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, and communication.
A successful Assistant Office Administrator/Billing Assistant should also have experience with a variety of office software (email tools, spreadsheets and databases) and be able to accurately handle administrative duties.
Responsibilities Include But Not Limited To:
- Maintain the office condition and help arrange necessary repairs
- Assist with incoming phone calls and direct towards the appropriate party
- Organize office operations and procedures
- Coordinate with IT department on office equipment
- Address employees’ queries – Billing, IT, time-entry, etc.
- Edit billing time and cost entries to ensure invoices are completed in a timely manner
- Forward invoices to clients via email or electronically through the e-billing process
- Collect Data and Submit Weekly and Monthly Reports
- Communicate with Vendors, Clients, Employees via Phone, Email, etc.
- Cross-train to ensure efficient and effective coverage of duties
Requirements:
- Knowledge of Office Administrator responsibilities, systems and procedures
- Proficiency in MS Office (MS Excel and MS Outlook, in particular)
- Hands-on experience with office machines (e.g., printers and scanners)
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- Ability to work well in a team atmosphere
- Proven experience as an Office Manager or Administrative Assistant is a plus
- High School diploma
- Associate’s and/or Bachelor’s Degree is preferred
