Position: Assistant General Manager
Reports to: General Manager
Location: San Diego, CA
To be an active leader, supporter of the Civita Public Maintenance Corporation, Civita Community Association and Civita Residential Association’s distinct but combined community vision and philosophies, and FirstService Residential ‘s commitment to client, staff and community. The expectation for this individual is to support the General Manager to meet Board goals and objectives with respect to asset management. Additionally, to ensure effective and efficient day to day operation of each entity’s facilities and operation. This position reports directly to the General Manager.
We are looking for a leader, and future General Manager and effective decision maker who is a team player and is willing to learn to identify the need for change and effectuate change, as needed. Learn and undertake the process of HOA development in conjunction with the home builder process along with managing property transitions. Manage and perform all office procedures as needed and directed, and ultimately be able to train others in the office procedures and community requirements.

Community Enhancement & Maintenance
- Ensure Civita’s parks, landscape and recreational facilities are maintained in excellent condition.
- Provide oversight for regular and ongoing inspections of all parks and facilities for repairs, maintenance and improvements.
- Work closely with landscape contractors and consultants to ensure landscape budgets are being adhered to and landscape projects are being prioritized.
- Ensure subcontractors’ adherence to specifications and that work is completed in accordance with Civita’s standards.
- Assess and monitor community needs: identify opportunities for improving service delivery methods and procedures.
- Monitor vendor performance, as directed, against contracted scope and propose bidding or scope adjustments in accordance with Board Policy
- Collaborate with consultants and committees to maximize aesthetic appeal and minimize costs / risks
- Prepare and deliver evaluation measurement for vendors, as directed, and amenities including recommendations for any corrective action
Daily Operations
- Ensure adherence to association policies and procedures, and compliance with corporate, civil code, state and federal obligations and Civita’s governing documents.
- Project Management, as directed, leader in coordinating multiple vendors and oversite of strategic projects
- Participate in the production of the monthly board packet and content for each entity
Leadership & Strategy
- Have the mindset of a leader and effective decision maker and work to constantly improve your leadership skills.
- Oversee and drive in partnership with the General Manager, on-site team and office support teams.
- Lead the Social Committee, plan and execute community events.
- Lead other community committees as assigned.
- Proactively identifies areas of improvement and makes recommendations to improve the operation of the corporation.
- On-site visibility
- Work closely with the General Manager to plan and implement the strategic plan, goals and objectives.
- Display a working knowledge of the governing documents for the purposes of initiating additional opportunities within the appropriate legal structure and causing implementation for the good of the community.
- Responsible for the direct supervision and leadership of key teams and administering payroll and reviews for performance management, growth and development.
- Provide leadership at each meeting for Civita in terms of agenda support, written and oral reports as requested on designated items, and summarize the priorities of each meeting as it relates to the community.
- Provide community leadership and guidance to ensure that the needs or desires of the homeowners are being addressed.
- Attend and participate in professional group meetings. Stay abreast of new trends and innovations in fields of community management and facility maintenance.
- Schedule and attend monthly staff touch base and staff function meetings.
- Assist in annual budget preparation and ensure adherence to association budget.
- Participate in reviewing Civita’s policies on an ongoing basis to ensure compliance with civil code, declaration and other requirements of governing institutions.
- Attend all company mandatory functions.
- Comply with company policies and procedures.
- Act in the absence of the General Manager

- Conduct business at all times with the highest standards of personal, professional and ethical conduct.
- Perform or assist with any operations as required to maintain workflow and to meet schedules. Notify supervision of unusual equipment or operating problems and the need for additional material and supplies.
- May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.
- Ensure all safety precautions are followed while performing the work.
- Follow all policies and Standard Operating Procedures as instructed by Management.
- Perform any range of special projects, tasks and other related duties as assigned.

EDUCATION and/or EXPERIENCE:
The Assistant General Manager will portray, but is not limited to, the following capabilities/ qualifications.
- Has a minimum of 3-5 years of successful management experience.
- Is committed to continual learning as evidenced by attendance at seminars, industry programs, either as an attendee or as a guest speaker.
- Displays strong written skills so as to be able to publish appropriate documentation as directed to create the legacy for the association; particularly in the area of administration.
- Be well spoken so as to instill confidence in the residents that reside within the community as well as the public that may interact through designated programs and issues.
- Displays a community posture that well represents the vision of association.
- Understands bidding and maintenance practices.

CERTIFICATES, LICENSES, REGISTRATIONS:
Certified Community Association Manager preferred
Valid California Driver's license including State mandated vehicle insurance
