Position SummaryFull-time position under the Management Personnel Plan (MPP) available on or after February 1, 2021 in Student Records.
Reporting to the Director of Enrollment Services, the Assistant Director of Enrollment Services is responsible for coordinating, monitoring and evaluating the work of the admissions staff, which is comprised of admission coordinators, administrative support staff, one analyst, student assistants and the Student Records staff as appropriate.
The Assistant Director is is charged with ensuring the quality and quantity of the work related to undergraduate and graduate admissions, new student orientation, Early Start, California Promise, early registration of math and English, and all other programs/responsibilities affiliated with initial enrollment to Stanislaus State.
Job Duties
Duties include but are not limited to:- Coordinate department priorities and workload.
- Provide leadership for Admissions and Articulation analysts including oversight of technical changes and maintenance issues in cooperation with Financial Aid, Student Financials, the Office of Information Technology and the Chancellor’s Office CMS team.
- Serve as Cal State Apply representative for Stanislaus State University and serve on the CSU Admission Advisory Committee.
- Ensure that Cal State Apply procedural changes are made and staff are trained on changes, as well as continued development and use of new technology and functionality.
- Develop and implement communication plans for undergraduate admission dates and deadlines, Early Start Program and the California Promise Program.
- Adhere and implement policies and procedures as required by the Chancellor’s Office as it pertains to Admissions, Early Start, California Promise, Veteran’s Affairs, Articulation, and/or student academic records.
- Oversee and coordinate pre-registration of all incoming freshmen, ensure that math and English placement are accurate based on high school coursework. Work with Academic Success Center and the Faculty Fellows to ensure appropriate placement in classes as directed by department.
- Oversee and coordinate pre-registration of all continuing students in math stretch classes. Work with the Math Department Chairperson, the Academic Success Center, and the registration analyst to ensure appropriate placement and communication to students.
- Develop, analyze and deliver student admission data and report information to appropriate departments.
- Develop ad hoc queries requisite for validation of process changes, troubleshooting the PeopleSoft student system, and ensuing quality control.
- Oversee update of catalog information regarding University Admissions, both undergraduate and graduate sections of the catalog.
- Meet with and counsel students regarding admissions and/or academic record problems.
- Works and communicates with the university departments and programs about admissions changes, Early Start updates and California Promise updates.
- Work with the Director of Enrollment Services and the Director of Admissions and Financial Aid to ensure admission compliance with the Chancellor’s Office requirements, and ensure that information on the Web is accurate and up-to-date.
- Assist the Director of Enrollment Services with tasks as assigned.
- Works and communicates with the Director of Admissions and Financial Aid (or designee) to coordinate interrelated Outreach, Admission and Financial Aid tasks.
- Works with other campus departments (e.g. University Extended Education, Credentials Office) regarding changes to application, admission and reporting procedures and use of technology to streamline productivity.
- Serve as representative on the Commencement Committee.
- Serve as representative on the Academic Preparation Committee.
- Responsible for the oversight of the day-to-day operations of the Admissions unit within Enrollment Services, including appropriate oversight of the entire Enrollment Services Office as needed.
- Trains all admission, evaluator, and registration staff as appropriate regarding admissions, New Student Orientation, California Promise, and Early Start.
- Coordinates schedules and approves vacations for Admissions staff, and other Enrollment Services staff as needed.
- Monitor and evaluate the Admissions staff.
- Schedule and coordinate bi-monthly Team Meetings and serve as co-lead for Records/Registration and Evaluation Staff Meetings.
- Coordinate staff monthly attendance reports.
- Hire, supervise and dismiss student assistant positions within Enrollment Services.
- Other duties as assigned.
Minimum Qualifications
Education: Bachelor's degree from a four-year college or university in one of the behavioral sciences, public or business administration or a job-related field; Master's degree in a job-related field is preferred.Experience: Minimum of 5 years of professional experience working in higher education relevant to student services.
Preferred Qualifications
- Experience using PeopleSoft, including query writing, and analyzing data.
- Experience with Cal State Apply or other single application software.
- Experience using an imaging system, including understanding of set up and maintenance.
- Experience in admission evaluations, transfer coursework evaluations, and a general understanding of student academic records.
Required Qualifications
- Demonstrates excellent oral and written communication skills.
- Demonstrates an understanding of recruitment practices and theories.
- Experience with marketing practices to prospective students at all levels.
- Ability to analyze and interpret complex data relevant to its effects from recruitment through admission.
- Ability to work an adjusted schedule (evenings and weekends) as required.
- Working knowledge of research and interviewing techniques.
- Working knowledge of the principles of individual and group dynamics.
- Working knowledge and ability to acquire rapid understanding of the CSU Stanislaus organization, procedures, and activities.
- Knowledge of CSU Admissions requirements and policies.
- Ability to present clear and concise information orally and in written reports.
- Ability to interpret and apply program rules and regulations.
- Ability to gather and analyze data, draw valid conclusions and make appropriate recommendations.
- Ability to establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, and other private and public agencies.
- Ability to respond to routine and non-routine inquiries and explain policies and procedures to others.
- Demonstrated ability to use judgment within the area of expertise to revise existing procedures and to recommend solutions to problems for which precedents may not exist.
- Ability to advise students individually and in groups from routine to complex matters.
