The Office of University Advancement is seeking a talented and energetic Annual Giving Coordinator to join our highly collaborative, motivated team as we work on behalf of the nation’s premier Augustinian Catholic university. Under the supervision of the Director of Annual Giving, the Annual Giving Coordinator will assist in the day-to-day management of all annual giving data operations. The Coordinator will provide project support to Annual Giving team members, including but not limited to, the Associate Director of Digital Fundraising and the Associate Director of Annual Giving for the Charles Widger School of Law. This individual will serve as a liaison to Advancement Services for data needs and reporting by requesting, verifying and preparing all data for annual giving communications and analysis.

Duties and Responsibilities:
  • Data Management: Serve in a centralized role to support data management for all direct mail, digital communication and other multi-channel strategies. This includes requesting, coordinating and preparing all data files for various formats. Utilize Cognos reports and Blackbaud Fundraising Performance Management to keep track of channel performance and provide analysis as needed.
  • Report Management: Manage the documentation and reporting for return-on-investment analysis. Ensure regularly scheduled data reports are accurate and saved accordingly. This also includes overseeing the updates of report criteria at the start of each fiscal year.
  • Operational Tasks: Coordinate and manage the donor promotion fulfillment process. Manage annual giving inventory of donor promotion items and stationery. Support stewardship outreach as needed including preparing data files and mailings. Format donor lists from campus partners for gift processing procedures.
  • 1842 Day: Support Villanova’s annual day of giving, including offline gifts and post analysis reports.
  • Assist with documenting processes and procedures as needed. Other duties and special projects as assigned.

Minimum Qualifications:
  • Bachelor’s degree required.
  • Entry level to two years of experience in an office or administrative setting.
  • The successful candidate must possess good planning and administrative skills, excellent verbal and writing skills, strong work ethic, demonstrated ability to work with others and the ability to manage several projects simultaneously.
  • Must be proficient in Microsoft Office, especially Excel and other spreadsheet programs.
  • Ability to be flexible and manage multiple projects while effectively prioritizing workload to ensure deadlines are met is a must.
  • Demonstrated attention to detail and accuracy in a deadline-oriented environment.
  • Excellent verbal and written communication skills.
  • Critical thinking and demonstrated comfort learning new technologies and systems required.
  • Experience and ability to work in a fast-paced environment required.
  • Solutions-oriented approach to work.
  • Proficiency in Microsoft Office, especially Excel and other spreadsheet programs is critical.

Preferred Qualifications:
  • Previous experience working in fundraising or higher ed advancement is preferred.
  • Knowledge of solicitation methods and standards is a plus.
  • Understanding of or experience working with Banner, Salesforce, Cognos and Blackbaud Fundraiser Performance Management is preferred.

Physical Requirements and/or Unusual Work Hours:
  • Flexibility to work nights and weekends to meet department needs.
