Job Summary & Responsibilities

The Workplace Services Coordinator will work in the Bloomington, MN office reporting to the Director of Global Facilities. The main responsibilities of this individual will be to oversee the daily operations of all workplace services at Onto Innovation mainly within the Central Time Zone but may have to assist the other regions as needed. To accomplish this the applicant must be able to work with stake holders and suppliers to understand the required scope of work and the service levels needed to maintain them. The candidate will be required to assist in the creation of Statements of Work and Request for Proposals. They will be required to maintain inventory levels, conduct inspections, meet regularly with suppliers and aid with task assigned to the facilities department.

Roles and Responsibilities:

• Manage Suppliers for Janitorial, Breakroom Services, Cleanroom Consumables, Cleanroom Garments, Office Supplies, Document Storage, Fitness Center, Vending, Trash\Recycling, Mail, Pest Control, Visitor Registration, and Interior Plants
  • Conduct regular meetings with suppliers to review services and cost of services
  • Assist with the creation of the Scope of Work and Service Levels Agreements
  • Participate in the selection process of a service suppliers
  • Create Purchase Requisitions and Approve Invoicing
• Assist in the daily operation of the Workplace Services by maintaining stocking levels, assisting in the fulfillment of catering order, and distribution of mail
• Assist with the on and off boarding process for new hire and contract worker by providing a clean and fully functional workspace location, creation of a badge, providing signage, assignment of keys, providing boxes, and clearing out vacant locations.
• Complete work requests as required
• Assist with badging
• Assist with space management software
• Assist other organization as needed to meet company goals and objectives

Qualifications

Required Education and Experience:

• Excellent verbal and written communication skills
• Ability to set priorities and accomplish tasks with minimal supervision
• Ability to use the Microsoft Office Suite (Word, Excel, and PowerPoint)
• Possess good interpersonal skills and willing to work in a team environment
• An AS/BS/BA in Business, or a related field of study, or the equivalent of 5 years of experience in contract management is required. BS\BA in the one of the above fields is preferred
• Experience in purchasing or with SAP Product Environment will be considered a plus
• Ability to communicate verbally with onsite service providers in their native language is also helpful but not required
