JOB SUMMARY:
The Warehouse Coordinator, under the direction of the Materials Manager performs the daily activities of ensuring all client orders are processed and sold out within PO System. Tracks back orders and ensure all backorder are processed upon receipt of material. Ensures smooth work flow for all Supply Clerks. This position is a lead position within the Materials Department.
JOB RESPONSIBILITIES
ESSENTIAL FUNCTIONS:
- Assist the Materials Manager in the overseeing the day-to-day operations of the Supply Department.
- Serve as project leader in the development and implementation of training, QA programs and department protocols.
- Serve as lead for employees assigned to the materials warehouse department and submits recommendations for personal evaluations when requested by the Manager.
- Serve as the lead in shipping, receiving, and inventory control of programs for all supplies.
- Maintain the perpetual inventory and subsequent delivery of supplies to all locations.
- Lead the department in the Physical Inventory process. Ensures accuracy of all inventory counts and validates input into the computer. Advise the manager of inventory issues resulting from the physical inventory. Provide recommendations for additional inventory controls and/or policies and procedures to manager.
- Responsible for the fulfillment of all orders on a daily basis for clients, phlebotomists, and internal departments that arrive via fax, email, and interdepartmental mail.
- Problem solve via phone/email by contacting clients/phlebotomists and internal departments.
- Verify with manager outstanding supplies ordered by clients/phlebotomists and internal departments.
- Keep clients/phlebotomists and internal informed of backordered supplies.
- Assist in the processing of all receiving reports on all shipments receive through the warehouse.
- Maintain records of supplies and materials entering and leaving the warehouse.
- Ensure that all containers are labeled with the date or receipt.
- Check invoice/packing slips noting the number ordered and received are the same, notes back ordered items, and give invoices to appropriate personnel to be processed.
- Ensure inventory is stocked and rotated per department procedure as directed by Department Manager.
- Ensure FIFO methodology is utilized for all supply orders.
- Maintain the inventory of supplies and coordinates the replacement and ordering of supplies including general lab items from approved vendors on a daily basis.
- Ensure accuracy of completed client and internal request forms.
- Approve emergency deliveries in the absence of the manager.
- Complete low stock/discrepancy report forms.
- Assist with the organization and safety of the warehouse including supply packaging, biohazard waste disposal, and the publication of a cleaning/ organization schedule.
- Establish and maintain effective working relationships with those contacted on the course of work.
- Must be familiar with Corporate Compliance Program and Corporate Policies.
NON-ESSENTIAL FUNCTIONS:
- Work with other departments within PathGroup and subsidiaries.
