JOB SUMMARY: Sales and administrative support for the Events department as they plan and execute events, generating income for the Museum by renting the Museum facilities for special events. Act as the initial and sometimes primary contact for inquires and clients interested in renting Museum spaces for private events at one or both of the Museum locations. Support the mission and vision of Museum throughout the performance of job duties.
ESSENTIAL FUNCTIONS:

  • Act as the initial and occasional primary point of contact for potential rental clients.
  • Manage, respond to, and assign leads in our event rental software, Tripleseat
  • Generate contracts for rental events; manage all follow-through, including receipt of payment, insurance, invitation copy, etc.; clearly communicate Museum policies to clients as necessary.
  • Manage receipt and processing of payments for events with the Business Office.
  • Maintain database records on confirmed clients.
  • Work closely with the Events team on scheduling and calendaring rental events, ensuring Museum events are not in conflict.
  • Conduct regular site visits with potential renters of the Museum.
  • Work with the Events Operation Supervisor and Venue Specialists to ensure they have all the necessary information to properly execute rental events, including obtaining list of equipment needs, vendor arrival information, etc.
  • Provide appropriate rental event information to Communications department for marketing and social media promotions.
  • Act as a liaison with our preferred caterers and vendors to field general questions.
  • Help with processing invoices and charges to the Events department.
  • Monitor and help with basic monthly reporting to show trends, success, and areas of growth.
  • Manage entry of rental bookings into the master calendar; oversee venue availability and calendar changes.
  • Coordinate production needs of clients to share with the Venue Operations team.
  • Conduct event walk-throughs with clients, assigned Venue Specialists, and vendors in preparation for events.
  • Co-administer exclusive catering program with the Director, Rentals & Retail.
  • In collaboration with the Director, Rentals & Retail, create a marketing and advertising plan for the Facilities rental program.
  • Work alternate, part time, or special event shifts, including weekends and/or after regular business hours as needed. Work at downtown San Diego site as needed.
  • Follow safety policies and procedures to ensure a safe work environment.
  • Other duties as assigned.

KNOWLEDGE, SKILLS, AND EXPERIENCE: Outstanding interpersonal and problem-solving skills with the ability to maintain professional decorum and interact with all levels of employees, vendors, guests, and rental clients, while building business relationships. Strong oral and written communication skills. Proactive self-starter with the willingness and skills to take ownership of projects from start to finish. Strong organizational skills with an emphasis in attention to detail and follow-up. Intermediate technical skills in MS Office, Excel, and a proficiency in cash/credit handling. Knowledge of or interest in the art and/or museum fields a plus. Bachelor’s degree and three years recent, relevant experience or equivalent education and experience.
PHYSICAL REQUIREMENTS: Ability to see, listen, and talk for extended periods. Ability to perform repetitive motions, making substantial movements of the wrists, hands, or fingers. Ability to use a keyboard for extended periods. Ability to remain in a sedentary position for extended periods. Ability to lift, carry, push, or pull, exerting up to 25 pounds or a negligible amount occasionally, or otherwise move objects, including the human body.
