Position Title: T*rucking Billing & Assistant Dispatcher*
City Based: Lackawanna, NY
Job Summary:
Work with management and drivers to invoice our customers based on the information provided on daily tickets and associated project quotes. Also, assistant our division manager to dispatch trucks and find additional trucks on a day-to-day basis to supplement our fleet.
Key Accountabilities
In this role, the right candidate will:
- Create invoices to customers based on daily tickets and associated project quotes.
- Enter accounts payable for project specific material invoices.
- Enter vendor bills that come from our supplemental truck rentals.
- Maintain accurate costs through the accounting system.
- Track project through comparison of revenues vs costs and identify discrepancies.
- Resolve discrepancies that arise between customers and vendors related to rates or quantities.
- Maintain relationships with customers through professional correspondence and professionalism.
- Improves business processes by collaborating with clients, colleagues, and other cross functional teams.
- Assist the Division Manager to dispatch trucks. Work may occasionally include dispatching for a night or weekend shift. Night or weekend dispatching (when needed) could be done outside the office via cell phone.
Requirements:
- Ability to analyze and interpret financial reports as it relates to matching costs with revenues.
- Maintain timely invoicing to customers.
- Maintain relationships with managers and other employees to ensure a collaborative and team building environment.
- Strong analytical skills required. Proven ability to think both strategically and tactically.
- Organizational skills with a strong attention to detail required. Proven ability to work under pressure, prioritize work and meet multiple deadlines.
- Strong written and verbal communication skills required.
- Contribute to team effort by accomplishing related results as needed.
- Ability to maintain a dispatch spreadsheet and reference the same spreadsheet to invoice customers.
Knowledge, Skills, and Abilities:
- Prior experience with accounts payables and accounts receivable is preferred.
- Knowledge of the construction and / or trucking industry is preferred.
- Ability to think, analyze and share your findings with others.
- Ability to multi-task.
- Ability to be self-directed to accomplish tasks.
Language Skills:
Ability to read, write, speak and listen in English. Ability to respond to common inquiries or complaints. Ability to effectively present information to co-workers and clients.
Math Skills:
Ability to perform basic math. General accounting knowledge is beneficial.

Physical Demands:
While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to sit; type on a keyboard and view the monitor. Will also be required to visit and inspect construction job sites.

The office noise level is moderate with multiple people interacting on a regular basis to collaborate. This position will be given a separate work station.

Education
- Preferred: Degree in Business Administration or Construction Management
- Industry experience may be considered a substitute for a degree
- 2+ years in the construction or transportation industry
- Ability to use Computer Ease accounting system preferred
- Above average skills with spreadsheets and Microsoft Office suite
Compensation:
Full time position. Compensation is based on experience with possible bonus for obtaining specific goals
