Our logistics department is looking for an experienced Travel Coordinator to manage and coordinate all travel related activities for RPS North America. Based in Houston and reporting to the Logistics Manager, the Travel Coordinator will utilize the Concur travel portal to arrange domestic/international travel as well as coordinating ancillary services such as passport/visa and multinational immigration regulations.
Key Responsibilities:
- Ability to read and interpret documents such as travel rules, operating instructions, and procedure manuals.
- Understanding of Government travel requirements, visas, passports.
- Experience working with a high volume of phone calls and emails
- Proficient with city, airline, hotel, and car rental codes.
- Ability to consistently deliver excellent customer service, internally and externally.
- Ability to manage multiple priorities simultaneously and complete tasks with minimal supervision.
- Demonstrates attention to detail
- Pursues training and development opportunities and strives to continuously build knowledge and skills
- Shows respect and sensitivity for cultural differences
- Follows policies and procedures
- Proficient with Microsoft Office (Word, Excel, PowerPoint, and Outlook)
Requirements:
- Domestic and international travel experience
- Concur travel experience preferred
- Knowledge of travel risk assessments
- Knowledge of passport/visa and multinational immigration regulations a plus
- Excellent Customer Service Skills
Duties:
- Organize both international and domestic travel logistics (Air, Hotel, Car service/rental)
- Interact with all levels of management, including vendors/consultants.
- Liaise with clients – arranging travel times, meet and greets and any other necessary travel arrangements.
- Communicate with consultants and staff regarding travel arrangements, work requirements and any other logistical matters
- Attend daily Operations meetings
- Prepare and maintain risk assessments - pre-bid and pre-mobilization
- Manage pre-mobilization briefings and training
- Assist with third party invoice approval as needed
- Must be available for rotational weekends and emergency weeknight travel needs
- Other duties as assigned
Desired Experience & Skills:
- High School Diploma or GED Equivalent
- 3-5 years’ experience in travel
