Overview:

  • The employee will coordinate and support student related activities and programs during the third clinical year, related to clinical rotations, affiliate sites and curriculum requirements.
Responsibilities:
  • Coordinate and deploy the third-year rotations lottery system.
  • Collaborate with the Director of Clinical Education to assist with Site Preference requests when applicable.
  • Assist in assessing rotation capacity for the upcoming academic year.
  • Provide communication to students regarding all pre-rotation and academic requirements for rotations, including all relevant Clinical Education required class meetings, post- COMAT exam schedules, and Clinical Site Visits.
  • Communicate with the Department of Primary Care to schedule on campus OSCEs.
  • Assist with the coordination and scheduling of the Introduction to Clinical Rotations course.
  • Update student demographics and schedules on New Innovations.
  • Assure that all students have been notified of their rotations schedule and site orientation credentialing documents.
  • Collecting and process the 3rd year Student Performance Evaluation forms, rotation grades, and collaborate with the Grades Coordinator.
  • Assure that Student Performance Evaluations are submitted to the Clinical Dean for grading and review.
  • Serve as liaison to clinical affiliate sites.
  • Communicate with Clinical Sites and students regarding pending Clinical Clerkship Student Performance Evaluations.
  • Track student OMM requirements.
  • Assure that all matters reported from the clinical affiliate hospitals are communicated to the Director and Clinical Dean in a timely fashion.
  • Assist in coordinating and entering data related to the Clinical Rotations in student files.
  • Compile each student's pre-rotation credentialing documents.
  • Review invoices for completed rotations received from affiliate sites and TouroCOM preceptors; and collaborate with the Director.
  • Communicate with the Affiliation and Credentialing Coordinator to notify of potential preceptor to be credentialed and elective site affiliation agreements.
  • Student related administrative duties:
  • Collect and file Student Evaluation of Clinical Assignment forms, enter COMAT Exam scores to New Innovations and add report to student physical file.
  • All documents received are to be time stamped and initialed by the person receiving the documents.
  • Assure that all documents are scanned into the Clinical Rotations drive and available for student review.
  • Review the Clinical Rotations Manual and Curriculum and Syllabi documents relevant for the third-year students.
  • Maintain student files both physically and electronically.
  • Assist in coordination and follow up of off- cycle students not currently on rotations.
  • All other clerical tasks as assigned.
Qualifications:
  • Bachelor’s Degree preferred
  • Strong interpersonal and communication skills
  • Well organized and effective time management
  • Ability to work independently or as a team
  • Basic knowledge of Microsoft Office
  • Ability to maintain confidentiality
  • Ability to operate standard office technology (fax, scanner, multi-line phone)
