Third-Party Documents Administration Director – ProcurementJob Summary:Reporting to the Chief Procurement Officer, the Third-Party Documents Administrator Director is responsible for establishing an end to end contract and sourcing governance function that complies with regulatory, MUFG third-party risk management, and MUFG legal department requirements. In this role, the incumbent will oversee third-party document audit activities, and critical and high risk third-party document remediation efforts.

The Third-Party Documents Administrator Manager will ensure compliance to policies through a programmatic approach including testing and analysis and production of metrics. The incumbent will be responsible for updating policies and procedures to include process improvements or changes to the risk environment.

The Third-Party Documents Administrator Manager will manage a team comprised of Third-Party Documents Administrators, which handles documents with third-party vendors for a wide variety of services, including software license/implementation/maintenance, financial products and services, subscriptions, property maintenance/construction, marketing, training, and consulting. The team also coordinates and follows instruction from the MUFG legal department related to third-party document templates and internal training. Major Responsibilities:

  • Will support and regularly interact with regulators and will serve as the subject matter expert for policy and risk items as they relate to third-party documents
  • Prepare reports, materials, and assessments for regulatory exams, company committee meetings, and the Board of Directors, as necessary
  • Participate in or oversee the remediation of Procurement and third-party document audit items.
  • Work closely with other third-party management functions and 2nd line functions to strategize and drive improvement in the third-party document management system, retrieval, and flow processes
  • Partner with internal business resources and procurement stakeholders to provide subject matter expertise and guidance in ensuring all third-party documents meet MUFG’s third party risk management and legal department policies
  • Ability to influence internal stakeholders including but not limited to, corporate legal, risk, compliance, information security, finance, and business units to bring Procurement resources, tools, methodologies, and judgment to business units in a collaborative environment that values insight, creative thinking, group problem solving, intellectual curiosity, and a growth mindset
  • Partner with finance and associated business units to budget and track new spend, ongoing renewals, software license, maintenance, support, subscriptions, and/or other third-party document requirements and commitments, as well as metrics related to Third-Party Document Administrator assignments and compliance to internal service level commitments
  • Provide hands-on team leadership, management, and coaching to staff, duties include:
    • Interviewing, hiring, termination, coaching and counseling
    • Training
    • Performance appraisals
    • Compensation changes, promotions and transfers
    • Delegating assignments and oversight of work.
  • Act as a leader, developing and promoting a workplace culture that values diversity of thought, promotes integrity and creates an atmosphere that supports coaching and fosters accountability
  • Manage collection of supporting documentation (evidence) and serve as a member of the Procurement Leadership Management Team to influence and support initiatives
  • Maintain tools and repositories to calculate, score, and/or record documents and related reporting

Qualifications:
Education, Licensure, Year of Experience (and type of work experience):
  • Minimum of 10+ years in sourcing and contracts and prior contract risk/governance experience
  • Knowledge of the regulatory environment
  • Bachelor's degree required; MBA preferred
  • Familiarity with federal bank regulatory requirements related to third-party risk management strongly preferred
  • Ability to communicate effectively (advocacy and listening) at all levels (internal and external)
  • Experience driving cross-functional collaboration and obtaining results through influence
