A Brief Overview
Under direction, responsible for processing incoming and outgoing correspondence and assigned receptionist duties. This responsibility includes sorting, logging, distributing, processing, documenting and filing in accordance with established policies and procedures, and in compliance with required standards, rules and regulations. In addition, assists with other duties as assigned. These activities are completed following established policies and procedures, and in compliance with Joint Commission, Medicare, Payer contracts, HIPAA, regulatory agencies and the organization's Code of Conduct.
Education Qualifications - High School Diploma GED is also accepted. Required
Skills and Abilities - Keyboarding skill or typing skill of at least 30 wpm. (Preferred proficiency)
- Good customer service skills.
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to communicate clearly both verbally and in writing. Ability to respond to questions from management, and employees.
- Ability to demonstrate basic math skills.
- Ability to carry out instructions furnished in written or diagram form. Ability to deal with problem solving several concrete variables in standardized situations. Ability to exercise sound judgment.

What you will do - Exhibits a professional and pleasant demeanor when communicating with all customers and providing additional information regarding patient financial information. Consistently uses diplomacy and respect both in person and when using the telephone, and performs effectively and professionally under stressful conditions. Ensures customer concerns are processed in compliance with organization’s policies while maintaining the highest level of patient and employee rights, including confidentiality of patient information and personnel issues.
- Accurately processes assigned incoming mail according to established procedures. May include returned mail, bankruptcies, probates, patient requests, attorney requests, itemized statement requests, address changes, insurance updates, etc. Accurately and efficiently, sorts, date stamps and logs incoming mail into computer system in a timely manner. Counts, weighs or measures documents as requested.
- Accurately and efficiently coordinates requests for medical records. Accurately and efficiently performs hard copy filing and retrieval of records in a timely manner. Compare hardcopy versus EMR template for accurate data entry. Scan, fax, photocopy or stuff any documents as requested.
- Answers questions from other staff or clinic offices by phone or e-mail in a timely manner.
- Accurately and efficiently routes insurance correspondence to assigned staff for resolution in a timely manner. Accurately and efficiently routes patient requests to assigned staff for resolution in a timely manner.
- Assists with the revision or development of the department's internal documents, procedural manuals and forms, as requested.
- Recommends organizational and departmental improvements based on appropriate customer concerns.
- Completes system screens according to standard documentation policy and procedure.
- Writes, types or enters information into computer applications, as requested, according to policy and procedure.
- Attends and participates at departmental team meetings, work-groups and other hospital educational programs. Accommodates and supports the changes required to meet departmental and organizational goals and customer needs.
- Ensures necessary data, identified processing issues and related information is provided to departmental management, appropriate departments and individuals within the organization in a timely manner.
