(Job #21-95) Administrative Analyst/Specialist-12 Month-Exempt I, Student Activities Center Programming & Event
Coordinator, $3,897-$7,051. Appointments are typically made at the beginning of the salary range. This is a full-time,
benefited, exempt, 12-month pay plan, permanent position with a one-year probationary period in the Student Activities

Position Summary: Under general direc?on of the Associate Director of the Student Ac?vi?es Center (SAC), the
Programming and Event Coordinator is responsible for long-term planning and implementa?on of programs and large-
scale student events to achieve programma?c goals as well as facilita?ng mul?ple daily opera?onal aspects of the SAC,
CenterArts and Conference and Event Services (CES). This includes independent analysis and development of complex
project and event management systems that include work with both on campus personnel as well as off campus vendors.
The Programming and Event Coordinator ensures that all ac?vi?es managed by the SAC are effec?vely and professionally
operated in a manner that serves both the mission of the University and the SAC. The Programming and Event Coordinator
leads the Ins?tu?onal Programming Model (IPM) large scale event subcommitee, serves as a liaison to outside en??es
and campus partners for event planning and ensures compliance with applicable regula?ons and requirements governing
the SAC.

Duties:
50% Coordinate SAC & CenterArts programming and events

  • Create and coordinate SAC & CenterArts events such as DJs, national touring acts, NACA style events, movie
nights, open mic, game tournaments, etc. as well as co-hosted events with campus partners. Maintain all SAC
events in 25 Live.
  • Coordinate the budget for SAC programming and events and keep costs in line.
  • Negotiate contractual details with the artist's management and booking agency representative for SAC events.

This includes researching artist availability, routing, submitting offers and negotiating artist fees and other
details.

  • Work with the SAC Events Technician to ensure all technical details of programming are in place.
  • Set the schedule for events in collaboration with the SAC Events Technician such as when the crew will start,
when the artist will arrive, when sound check will begin, etc.
  • Coordinate security at events. This includes creating policies and signage for the events. Positioning staff in
coordination with artist representatives and our policies.
  • Manage the Front of House duties include opening on time, maintaining the house policies, coordinating the

ushers (onsite), student assistants working the event, concessions, artist management, and collaborating with
the SAC Events Technician. Resolve seating issues and other customer complaints.

  • Coordinate artist merchandise sales at the performance with the artist's representative. These include providing
and training an employee to sell the merchandise, and reconciling the funds and merchandise at the end of the
event.
  • Shared responsibility with the SAC Events Technician in hiring, training and scheduling student assistants for
events.
  • Lead oversight of social media content, Instagram postings, and flyer creation to promote SAC and CenterArts
events.
  • Maintain content for the atmosphere TV promotions including SAC, HSU Athletics and various HSU campus
events.
  • Monitor HSU Jacks games site as well as any other campus affiliated events and coordinate streaming in the SAC
when able.


25% Plan large scale student events

  • Plan and coordinate 2-3 large scale student focused events per semester for campus each academic year.
Propose event with all details from concept, budget, and logistical needs in alignment with Homecoming, Rivalry
Weekend and Spring Event.
  • Serve as liaison for large scale student events with campus partners, serve on the IPM committee and lead the
IPM Large Scale Sub-Committee.
  • Assist with coordination and event management for select events hosted by other campus groups, as
appropriate, and in association with the SAC Events Technician.


20% Assist with coordination of events and meetings facilitated by Conference and Event Services (CES)

  • Assist CES with campus reservation system (25Live) management.
  • Serve as designated host and point of contact for conferences or events, as necessary.
  • Distribute keys to facility users for venue (building/room) access, as necessary.
  • Assist with planning and logistics of events as necessary.
  • Provide supervision to student assistants.

5% Other duties as assigned.

Minimum Qualifications: Requires general knowledge and skills in program or event planning with a foundational
knowledge of public administration principles, practices, and methods. A bachelor's degree and/or equivalent training
and administrative work experience involving study, analysis, and/or evaluation leading to the development or
improvement of programming policies, procedures, practices, or programs.

Required Knowledge, Skills, and Abilities: Ability to take initiative and independently plan, organize, coordinate, and
perform work in various situations where numerous and diverse demands are involved and the ability to anticipate
problems and address them proactively. Skill in the collection, evaluation, and interpretation of data to develop sound
conclusions and make appropriate recommendations. Demonstrated ability to effectively interpret, organize, and
present information and ideas in written or presentation form. Working knowledge of event planning practices; ability to
independently design and create event plans and to maintain production budget parameters; working knowledge of
governmental policies and procedures and ability to analyze and understand their relation to all areas of event
production; reasonable knowledge of local area and local, regional, and national event production resources; working
knowledge and ability to analyze, understand, and implement artist production contracts and event riders; basic
knowledge of office computer functions and other office tools used in operation. Strong customer service orientation;
ease in dealing with a diverse population, including students, staff, general public, artists, and artist’s representatives;
ability to establish and maintain cooperative working relationships with colleagues and those contacted in the course of
business; ability to communicate clearly and concisely, both orally and in writing; ability to prioritize work duties; able to
work effectively in a climate characterized by heavy traffic loads, shifting priorities, and the need to balance multiple
tasks; ability to schedule own workload, assign tasks, provide lead work direction, meet multiple deadlines, work
independently, and present a professional appearance.

Must be able to work a flexible schedule, including frequent nights and weekends, according to event requirements.
Must possess a valid California Driver’s license.

Preferred Qualifications: Experience independently crea?ng ideas and developing plans to facilitate programming or
large-scale events. Experience working in a student-focused university, or college environment preferred.
