Job Purpose:
The Clinical Logistics and Shipping Coordinator (CLSC) ensures that all inventory, storage and shipping of samples of clinical research studies conducted at the Parexel Early Phase Clinical Units (EPCUs) are performed in compliance with all sponsor protocols, Good Clinical Practices (GCPs), EPCU Standard Operating Procedures (SOPs), International Air Transport Association (IATA) Dangerous Goods Regulations and any other applicable regulations. The CLSC will maintain a sample shipment schedule in conjunction with Project Management. The CLSC will use paper documents, electronic documents, or ClinBaseâ„¢ to document sample inventory and shipment samples. The CLSC will ensure that all samples will be shipped accurately and in a timely manner. The CLSC will oversee clinical orders, receiving, maintenance of par supply inventory levels and storing of stock.

Key Accountabilities:

  • Keep accurate inventory, prepare, and store all packing materials used for shipping of samples to various destinations.
  • Receiving clinical stock orders and the storing of the stock.
  • Maintain and further develop the quality management system for sample shipping to include establishing clear expectations for sample shipping, clear delineation of accountability for tasks and processes, and consistent monitoring of the work product.
  • Tracks sample inventory; identifies samples that may be discarded using Clinbase, notifies project managers for sponsor notification and approval and arranges for destruction with documentation if required.
  • Ensure that all shipping work product is timely, accurate, and of the highest quality.
  • Content review and evaluation of clinical protocols with particular attention to feasibility regarding storage, packing and shipping of laboratory samples and any proposed timelines.
  • Introduce new technologies and equipment for efficient operations.
  • Support and provide leadership for the utilization of Clinbase (as applicable) as a tool to assist in the shipping process in the EPCU.
  • Arrange contact with courier companies and make reservations for sample shipping.
  • Establish a channel of contact with recipients and shippers of biomedical products.
  • Prepare all documents and support a quality control step to assure accuracy of all documents.
  • Establish and maintain effective working relationships with client representatives, respond to inquiries related to sample logistics and reliability regarding the sample preserving and shipping within the EPCU.
  • Review protocol and amendments and/or study procedure manuals providing input to both Project Management as well as clients to ensure effective implementation.
  • Maintains and participates in the fiscal objectives of the unit and recognizes cost reduction opportunities.
  • Participates in quality improvement initiatives.
  • Demonstrates Guest and Staff Relations standards in all activities.

QualificationsSkills:
  • Thorough knowledge of applicable international and local guidelines and regulations (e.g. IATA, DOT, ISO 9001, GCP, GLP, GMP).
  • Experience and knowledge of shipping, processing and logistical processes.
  • Experience and knowledge of applicable Electronic Data Capture Systems is desirable.
  • Well-developed communication, leadership, and other soft skills.
  • Ability to effectively manage tine and multi-task
  • Self-motivated with a willingness to accept responsibility and challenges.
  • Computer skills; ability to use MS Word, Excel, Power Point and Outlook
  • Ability to lift 30 pounds.

Education:
  • Bachelor of Science, or experience with biological sample handling and shipping per protocols for at least 2 years.
  • Computer skills and familiarity with research process desirable.

Language Skills:
  • Good written and spoken abilities in English

Minimum Work Experience:
  • Minimum of one year related experience
