Position Description:The role of Fellowship Affairs Manager is a significant new position within our team and has been created to support a step-change in our ability to support our active and Senior Fellows (alumni) and build a lifelong Fellowship community. The successful candidate will report to and work closely with our Director of Strategy and Fellowship Affairs, engaging regularly with our Academic Council. They will be responsible for much of the day-to-day Fellowship support, handling queries, resolving issues, and engaging in proactive support of our Fellows. Together with the Director, the postholder will form the Fellowship Affairs office within the Program team, focused on facilitating and supporting the Fellowship experience for Fellows to enable Fellows to maximize the impact of their support from the Program and in building a lifelong community of Schmidt Science Fellows. The postholder will have the opportunity to work closely with our growing Fellowship community, delivering high-quality support, driving forward initiatives to facilitate collaboration and connection, and having a central role in curating Fellowship community-focused activities and platforms. As the community grows, there will be significant opportunity to provide input into the design and delivery of evolving and new initiatives to support and to develop professionally within in the organization. The role will be a key position within our core Program team and the postholder will have the opportunity to engage in a wide range of different tasks across all aspects of our operations. Key ResponsibilitiesThe postholder will:

  • Be the main contact for Fellows and Senior Fellows needing programmatic support and guidance.
  • Promote and manage the administration of Senior Fellows events, working under the direction and guidance of the Director of Strategy and Fellowship Affairs and in collaboration with the Events Manager. Supporting the development of Senior Fellows affinity groups/regional clusters.
  • Support whole Fellowship and cross-Fellowship initiatives including the administration of schemes such as Peer-Mentoring.
  • Ensure the currency of core Fellowship information and dissemination based on Fellowship Support processes, working with the Director of Strategy and Fellowship Affairs to identify areas for policy development.
  • Manage the delivery of the annual Fellowship community progress and impact survey, including analysis and presentation.
  • Content management for the Fellows Hub, including curation and posting of content, facilitating group formation and activity, and encouraging online discussion to drive engagement supporting integration with Salesforce and the website, updating community events, and acting as moderator.
  • Support the delivery of Global Meetings as required, with a focus on community activities, mentoring, and support services for Fellows.
  • Complete other duties as required in support of teamwide activities
  • Manage the administration of Fellowship Affairs and Support activities, including:o Administrative management of the Fellowship Placement proposal processo Ensuring the compliance of all new Fellows with pre-Placement requirements and eligibilityo Managing the collation confirmations from all new host PIso Supporting the development and implementation of the review process for all Fellows pursuing a Placement beyond 12-monthso Implementing the Senior Fellows Catalyst Grant scheme
Knowledge, Skills, and AbilitiesApplicants should demonstrate the following:
  • Experience and knowledge of the research system and career trajectories, including insights into the stages, processes, and demands of the transition from PhD to postdoc/early career researcher.
  • An affinity with the Schmidt Science Fellows mission and long-term vision.
  • Strong empathic skills enabling engagement with Fellows experiencing a breadth of issues, challenges, and achievements at any time.
  • Experience of developing communities and networks.
  • Knowledge and experience of CRM and community-based online platforms and ability to learn new systems quickly.
  • First-rate communication skills, including ability to engage appropriately with contacts in different contexts, organizations, and seniority.
  • Excellent attention to detail and organizational/program management skills, including managing or developing new workflows for information collection, funding calls, and grant administration.
  • Self-sufficiency and willingness to engage in detailed administrative tasks.
  • Strong team working ethic and attitude, recognizing the needs of small team operations
  • Have a positive, values-based, collaborative working style with a clear commitment to the highest standards of delivery, ethics, and confidentiality.
  • Willingness to manage flexible working to accommodate our international operations, management, and Fellows.
  • Be comfortable with remote and team working, including international line management.
Qualifications:Requirements
  • At least three years of experience of work in a science-related organization or university setting.
  • Hold a college/university degree from a recognized and accredited institution.
  • Have completed a PhD and have some postdoc experience in any field or have commensurate experience in a professional role that confers convincing knowledge of the stages and demands that this career path entails.
  • Be able to travel several times a year with notice, within the US and internationally
LocationThe position of Fellowship Affairs Manager will be part of our Washington DC Metro Hub. The postholder will be expected to live within a reasonable distance of the western suburbs of Washington DC and will primarily work from home but must be able to travel on a regular basis to attend team working days in Northern Virginia.To Apply:The closing date for applications is March 18, 2022.
