Scheduling Operations Manager, Enterprise Schedgistration
The Advanced Electronic Health Records (EHR) Scheduling Operations Manager is responsible for supervision and coordination of Enterprise Schedgistration operational projects and activities. This role will facilitate the assignment and support of all scheduling initiatives at Penn Medicine. This role will collaborate with various stakeholders including practice, divisional, entity, and health system leadership to create workflow standards and optimize the scheduling functions in the electronic medical record system. This role will work closely with the Manager of Schedgistration Training to ensure proper education is conducted for all initiatives as well as the registration Business Process Consultants to ensure an optimized workflow. This role will also lead projects in order to advance strategic goals and priorities.
Accountabilities
- Manage a team of Business Process Consultants responsible for practice implementations, template support, and other scheduling operational projects and support.
- Work closely with Penn Medicine, administrative and physician leadership and other key stakeholders to meet the Schedgistration-related ongoing projects and issue-based end user needs of Penn Medicine.
- Develop excellent working relationships with stakeholders, team partners, and end users.
- Facilitate the distribution of projects and activities of the Schedgistration Business Process Consultants team. Ensure that all projects are staffed and supported and maintain competency with a high level of credibility with end users.
- Assure a clear, supportable, value-added, scheduling workflow is designed and delivered effectively and efficiently. Assure an effective schedule and support structure for initiatives and implementations.
- Leverage data analytics from Schedgistration QA program to design a customized support program to support individual users and small group sessions
- Assure readiness for new practice implementations and system upgrades.
- Manage and maintain the planning and implementation of all scheduling initiatives
- Performs duties in accordance with Penn Medicine and entity values, policies, and procedures
- Other duties as assigned to support the unit, department, entity, and health system organization
Minimum Requirements
Required Education and Experience
- Bachelor's Degree is required
o 5+ years’ Experience in practice operations, scheduling/registration, and/or information systems working with electronic medical records.
- Master's Degree is preferred
o 3+ years in a health care environment or related experience.
Licenses, Registrations, and Certifications
- Epic experience/certification within 6 months of hire
Required Skills and Abilities
- Understanding of electronic medical records
- Understanding of practice operations in healthcare environment
- Experience with project management processes and tools
- Ability to translate organizational and operational issues into understandable and meaningful solutions
- Strong communication, interpersonal and rapport building skills required to work effectively with all levels across the organization
- Ability to analyze, diagnose, suggest and implement process change
- Well-developed analytical, organization and presentation skills
- Ability to work independently as well as part of a team
- Solid computer skill proficiency and knowledge of business practices
