INTRODUCTION
- The purpose of this position description is to define the requirements, reporting relationships, authority, duties and responsibilities and measures of performance for the functional position of the Sales Representative and Life Safety Consultant at CANA Communications (CANA).
- The primary function of the Representative is to provide the necessary planning and organization in order to meet or exceed the Company s objectives. This is accomplished through the effective management of the assigned tasks and the mandatory documentation associated with each bid, the establishment of strong relationships within the Company and within the industry; and the development and implementation of the proper utilization of company provided resources in conjunction with following the company s policies and procedures.
- The Representative is responsible for all sales activities in assigned accounts. The Representative sells goods where technical or scientific knowledge is required in such areas as engineering, electronics, and any supporting services offered by the company. This includes but is not limited to; assisting other Company Representatives and the Sales Department with any administrative duties that may be related to the company s business development procedures and general practices.
- The Representative is also tasked with establishing and maintaining good working relationships between other company employees, vendors, and with customers.
REQUIREMENTS
Education
- Required: High School Diploma or GED
- Preferred: Post-Secondary Education
Experience
- Required: 1 to 3 years relevant experience.
- Preferred: 3 to 5 years relevant construction related experience.
- Knowledge, Skills and Abilities
- . Knowledge of English language for spelling and proper word usage; basic reading, writing, and arithmetic skills required; duties require verbal and written communication skills.
- Ability to persuade and influence others; ability to develop and deliver presentations; ability to create, compose and edit written materials.
- Strong interpersonal and communication skills; visibility requires maintaining a professional appearance and providing a positive company image to the public.
- Knowledge of Microsoft Office and telephone protocol; proficient in procuring technical bid data
- Work requires significant local travel to current and potential clients. This requires the possession of a valid state driver s license within 15 days of employment and no more than three points on your Motor Vehicle Report, in the past three years. All work requires willingness to work a flexible schedule and occasional overnight travel.
- Required skills include, but are not limited to, observing situations analytically and objectively and relaying details accurately; being able to adapt to the changing work environment; multi-tasking, coordinating simultaneous mental, manual, and visual activities.
- Ability to speak clearly and concisely; ability to establish and maintain effective working relationships with other personnel; ability to recognize and establish priorities.
- Able to sit for long periods of time (up to eight hours). A substantial amount of time is spent driving to and from a client s office, or to a prospective client s office or potential project site. This also requires sitting at a desk with frequent opportunity to move about; able to move or lift light articles in the normal office setting.
WORKING CONDITIONS
- Working conditions are normal for an office environment. Work requires significant local travel and may require occasional travel, weekend and/or evening work.
REPORTING RELATIONSHIPS
- The Representative is hired by, and directly responsible to the Vice President of Business Development.
AUTHORITY and RESPONSIBILITIES
- The Representative is granted sufficient authority by the Vice President of Business Development to accomplish all of the duties and responsibilities that are established for this position, to include, but not limited to, the following:
- Establish and maintain excellent relationships with customers and their staff, maintaining a team-based work environment and strong relationships with fellow employees.
- Answering clients questions regarding products, prices, availability, product uses, and credit terms; contact new and existing customers to discuss their needs, and to explain how these needs could be met and/or exceeded by specific products and services.
- Prepare action plans and schedules to identify specific targets and to project the number of contacts to be made; follow-up on new leads and referrals resulting from general field activity and prospecting.
- Develop and maintain sales materials and current product knowledge; communicate new product and service opportunities, special developments, information, or feedback gathered through field activity to the appropriate company staff.
- Responsible for creating proposals, service agreements and follow up reports as required for proposed work via CANA s Quoting Software Programs.
- Quote prices, credit terms and other bid specifications; negotiate prices and terms of sales and service agreements; inform customers of estimated project schedules, service contracts, warranties, and any other information pertaining to purchased products.
- Responsible for all required paperwork associated with job and/or customer. Provide Sales Coordinator with a copy of all signed and awarded quotes (file to be complete with any required paperwork – new customer information, credit application, etc.)
- Ensure all New Customers are entered into Company Shared Files.
- Employee is required to have any and all expense reports signed by the Vice President of Business Development prior to being reimbursed.
- Collaborate with colleagues to exchange information such as selling strategies and marketing information; prepare estimates for CANA clients, direct and indirect as required by your position; collaborate with Operations, Service and Accounting departments in regard to scheduling and billing, as necessary.
- Participate in marketing events such as seminars, trade shows, and telemarketing events; assist the Vice President of Business Development with on-the-job training for new sales representatives, as needed.
- Ensure all work and materials meet quality standards in accordance with Company policy, procedures, and requirements and in accordance with industry standards.
- Representative is to attend Sales meetings as scheduled and shall also provide the Vice President of Business Development with Activity Reports as required. Representative shall be present in the office as needed to ensure all job requirements are achieved.
- Representative shall keep the Vice President of Business Development informed of their whereabouts when not in the office, during business hours. Representative shall also contact the Vice President of Business Development when not in the office by phone or email at least once per day.
- Additional responsibilities of this position require, but are not limited to, the following:
- Representative shall demonstrate good judgment in investigating and resolving problems and foster harmonious relationships with other company employees while meeting and/or exceeding customer requirements and company policy.
- It is the responsibility of the Representative to turn in their monthly awarded quotes. The proper information should be sent to the Sales Coordinator and the Vice President of Business Development for final review.
- Representative to respect the confidentiality of company, customer, and personnel information.
MEASURES OF PERFORMANCE
The Representative will be deemed to be performing in a satisfactory manner when the following occurs:
- Follow-up with the Vice President of Business Development to ensure all customer/job information has been received within a timely manner, for each awarded project. (i.e., credit application, signed quote, contract, purchase order, agreements, etc.)
- Ensure that the Sales Quota and all aforementioned job requirements have been satisfied; including sufficient profit margins are met to allow for a successful completion of job within budget(s).
- Increase volume of work with existing clients; develop new business; manage customer concerns and assist in developing policies and procedures that eliminate or mitigate future concerns to fewer and of less seriousness than Company targets and objectives.
- Ensure all required documentation is submitted on time.
