Residential Support Coordinator

Position Summary:Responsible to support Residential leadership in monitoring of specific systems, dissemination of information, preparation of reports, and other duties as assigned.
Job Duties and Responsibilities:- Schedule, prepare, attend and take minutes for weekly Residential Coordinator meetings, and the monthly Management meetings. Type minutes and distribute to appropriate personnel in a timely manner
- Collect varied documents and forms and validate all information is accurate such as roster lists, demographics, DDP2, master schedules for sites, grocery and bulk order forms, and purchase orders.
- Monitor the completion/upload of various documents and follow up with management as necessary.
- Maintain an accurate record of residential floater staff and day program staff who work in the residential department and provide monthly training reports to management.
- Monitor and complete change of status forms and job requisitions; provide communication and schedules for orientation/onboarding to new employees.
- Administers coordinated grocery purchasing, orders and delivery to ensure consistent and appropriate purchasing in being conducted.
- Identifies and suggest remedial action when areas for improvement and efficiencies are revealed. Documents procedures in accordance with newly developed grocery purchasing procedures
- Responsible for monitoring purchase orders, validating grocery/supply purchases to approved lists. Will monitor purchase orders for issues such as spending over the limit, taxes paid on purchases, purchasing items not on approved lists and advising the Associate Directors to address.
- Contact managers for follow-up on identified issues, receipts of necessary information.
- Responsible for updating the Residential Site List on a monthly basis and distribute to appropriate personnel.
- Create and Maintain documents and forms required by the Residential Department. Will ensure updated forms are distributed and maintained accordingly.
- Data entry and database monitoring of various program requirements including LCED, DDP2, demographics, etc.
- Responsible for monitoring file maintenance in the IRA folders. Works with the Administrative Support Manager to ensure timely removal of files to be purged and scanned by the Administrative Scanning group.
- Compiles data for informational reports and other reports as deemed appropriate by the Director of Residential Services.
- May assist with matters related to various purchasing, procurement, safety and inventory matters.
- Other duties and special projects as assigned.
Qualifications and Education Requirements:Associate degree PLUS 2-5 yrs. prior administrative office experience preferred OR High School diploma PLUS one-year administrative office experience preferred PLUSProficient knowledge of Microsoft Word, Excel and Outlook email.
Valid NYS Driver's License is preferred.
