We are presently recruiting for a Property Administrator to join our team in Phoenix, Arizona.


OVERVIEW

The Property Administrator will provide general administrative support for the Real Estate Management Team. Assists with tenant and vendor customer service.


RESPONSIBILITIES

  • Provides full administrative support for assigned staff including but not limited to phone support, draft, preparation and distribution of correspondence, calendar and scheduling, meeting coordination, filing and copying, etc.
  • Assists in lease administration activities, including collection of tenant contacts and insurance information; also generates reports.
  • Tracks and maintains tenant, vendor and property files in Yardi Sharepoint, which include lease documents, service contracts, insurance certificates, tenant correspondence etc.
  • Promotes positive relationship with tenants while tracking tenant service calls and requests. May enter work orders. Also coordinates and monitors status of work assigned to vendors.
  • Assist in performing monthly and annual property inspections. Record inspections performed in Yardi.
  • Coordinates tenant appreciation events.
  • Administers accounts payable and accounts receivable. Codes invoices for Property Manager’s approval.
  • Where permitted by state regulations, initiate rent collection correspondence and phone contact with tenants and record detailed notations of such correspondence in Yardi.
  • Assists with preparation of monthly financial reports.
  • Assists Property Manager by coordinating bid proposals, service contracts and approved invoices.
  • Assists with annual budget preparation by researching costs for supplies and services and obtaining bids as directed.
  • Assists with preparation of Common Area Maintenance (CAM) annual tenant reconciliations, invoices and related correspondence.
  • Performs other duties as assigned.


QUALIFICATIONS

  • High school diploma or general education degree (GED)
  • A minimum of one year of related experience and/or training
  • Ability to pass a background and credit check (required)
  • Yardi Systems experience (preferred)
  • Real Estate License preferred, but not required.
