The Project Manager involves day to day management and oversight of a multi-center research initiative based at UCSF and including five other academic medical centers. With oversight from study team, will assist with administrative tasks including Institutional Review Board (IRB) submissions and scheduling, materials development and preparation, site trainings, research program planning and monitoring, data collection oversight and quality assurance, drafting of reports to sponsor, and will serve in both an oversight, quality assurance, and consultative role for participating sites. May at times assist with data gathering, generation, interpretation and synthesis; disseminating findings including through writing reports and manuscripts, public speaking, and presenting results including in local public forums and national meetings; develops and maintains strong professional partnerships with study team, participating site leads and site administrators, and the funder, attends research-related meetings, taking and disseminate notes, arranging meeting logistics, tracking due dates and project milestones. ReUse 95 is a federally funded research study that will examine the safety of the reuse and extended use of N95 face filtering respirators. Frontline healthcare workers (HCWs) are at high risk of severe acute respiratory syndrome coronavirus 2 (SARS-CoV-2) causing coronavirus disease 2019 (COVID-19). Personal protective equipment (PPE), including N95 respirators (N95), is essential for prevention of COVID-19. Although the Centers for Disease Control and Prevention (CDC) recommends HCWs dispose of N95s after a single patient encounter, during critical PPE shortages, they recommend N95 extended use (wearing the same N95 for multiple patient encounters) and limited reuse (storing an N95 between encounters for use over multiple encounters).There are limited data regarding N95 reuse and extended use. Existing studies were conducted in laboratories rather than clinical environments. The inadequate supply of N95s has forced many emergency departments (EDs) to implement various N95 reuse and extended use policies, but without empirical evidence of their effectiveness.
The co-Principal Investigators (PIs) are working on a $1.6M contract with the CDC Foundation and NIOSH for a 2-year research study that will include six emergency departments including UCSF. This position is to be the project manager for the multi-site study.
The Project Manager uses skills as a seasoned, experienced professional with a full understanding of necessary project management, analytical skills, developing, presenting and disseminating written and other forms of information to the research team at UCSF and participating sites, and develops and implements policies and procedures. The individual demonstrates good judgment in selecting methods and techniques to identify and address challenges and proposes solutions. Utilizes strong writing, communication and organizational skills to engage sites in the study deliverables, to track and adhere to the study timeline, and to communicate with both the study team and the funder.
The Project Manager will work with the UCSF ReUse N95 study team as well as the UCSF Department of Emergency Medicine Research Manager, and the study research assistant (TBD). The individual will also work with the UCSF Office of Contracts and Grants, the UCSF IRB, research leads at the five study sites (remotely) in NY, WI, CA, GA, and MD and staff at NIOSH and the CDC Foundation. Working primarily under the supervision of the Doctors/PIs, the position’s duties include managing communications between the UCSF study team and participating sites, developing research and program materials to help guide sites through the study (e.g. IRB applications, study protocol documents, consent forms, questionnaires using REDCap, timelines), assisting with study staff trainings to assure uniformity across sites, assistance with management of the contract budget and tracking of site payments, oversight and tracking of study timeline and associated deliverables, and careful, detailed quality assurance of both presence of, completeness, and accuracy of study data using a database developed for the study. The individual will also assist with manuscript, presentation, abstract and subsequent grant preparation; other general project management (including communication with collaborators and preparation, collection and organization of documents; organizing logistics for meetings and coordinating schedules).
In addition to the responsibilities stated, the Project Manager will supervise a Clinical Research Coordinator providing daily leadership, career development guidance, training, and mentoring as needed and will lead the performance evaluation process and provide regular feedback and guidance.
