Job Title: Project and Portfolio Manager

Function: Global Quality Services (PTQSO)

Location: Mississauga, Canada

Note: This position is not a people manager role.

Purpose:

The purpose of the PTQ Project and Portfolio Manager is to support and facilitate Global Quality and senior Leadership decision making on project prioritization. The individual in this role will closely monitor project performance so they are delivered on time, on budget and with the expected benefits, thus helping the Head of Global Quality Services, Lean & Agile Transformation and senior management ensure that the organization is focusing resources on projects with the highest business value .

The PTQ Project and Portfolio Manager is the business manager for the “Manage Project Portfolio” processes and addresses gaps and opportunities for improvement.

Employees involved in clinical trial oversight will follow SOPs for routing events appropriately.

Key responsibilities/Tasks:

  • Facilitate the selection and development of ideas/project proposals to ensure alignment with PTQ Strategic Goals and guarantee a high quality standard for decision making.

  • Ensure strategic project portfolio supports the objectives of the PT’s Quality Plan and the PTQ Strategic Roadmap

  • Together with the Head of Global Quality Services, Lean & Agile Transformation, provide visibility to PTQ Project Portfolio performance and priorities.

  • Facilitates Global Quality Leadership decision-making on strategic initiatives/priorities and proposes trade-off decisions to allocate resources towards projects with the highest business value.

  • Responsible for oversight of the project portfolio budget (< 4M CHF). Recommend projects and accelerated topics to be funded out of the portfolio budget (consultation of PTQ senior management for large projects) to facilitate decision making.

  • Actively support efforts to create/maintain a standard PT Portfolio Management process integrated with the PTQ Process

  • Coordinate and monitor the PTQ Project Portfolio Business, proposing trade-offs and re-prioritization of the portfolio based on strategic goals

  • Monitor, mitigate and prevent Project Portfolio risks

  • Lead and own the PTQ Intake Process

  • Ensure consistent/harmonized definitions of project attributes, KPIs and dashboards so business impacts are quantified and tracked

  • Ensure that PTQ Project Portfolio is aligned with Finance/Business and IT Portfolio cycle

  • Provide training, coaching and guidance to the project managers

  • Key contact person for PTQ and responsible for data in ServiceNow (Portfolio Management Tool)

  • Partner with Finance, PTQ senior management and customers across PT sites, Manufacturing Units and Functional Units to align to current and future business needs that influence decisions on PTQ project portfolio.

  • Provide guidance and coaching on the communication, escalation and mitigation of PTQ Project Portfolio performance risks, resolve conflicts, and drive value-add improvements.

  • Our goal is to build a flexible pool of Global Quality Services resources. Part of this role might therefore be other global quality services work to match business needs with employee interest.

Education/Experience/Skills:

  • BA in a Scientific and/or Technical discipline and/or Business discipline, desirable PMP certification / desirable Agile Certified Practitioner certification

  • 5+ years of work experience in different functions, business and operational experience in Quality / Supply Chain Management /Manufacturing / Engineering / Process Development / IT Project Management.

  • Must work well in a collaborative team environment and communicate effectively with all levels of the organization, demonstrating excellent written and verbal communication skills

  • Demonstrated influencing and interpersonal skills, and the ability to work well with others in a proactive, positive and constructive manner

  • Complexity management: ability to work on a diverse range of tasks and solve complex problems

  • Results orientation and focus on resource management

  • Sound knowledge of cGMPs and equivalent industry regulations

  • Pharmaceutical industry experience is a plus.

  • Certified / Expertise in proven methodologies such as: LEAN / Six Sigma / Change Management/ Risk Management/ Agile / Project Management

  • 5+ years of project management experience with cross-functional projects and interfacing with leadership required.

  • 3+ years of portfolio management experience

  • Proficient with Google applications (required), Office (required), ServiceNow Project Portfolio Management (preferred)

  • Fluency in written and verbal English language, additional languages are an asset (German, French, Spanish)

  • Ability to work with global teams and flexible schedule (e.g. start earlier) to meet business needs is a plus.

  • Ability to travel internationally
