Position Description:

Facing History and Ourselves is a global education non-profit organization that challenges teachers and students to use lessons of history to stand up to bigotry and hate.

As a critical member of the Online Learning team, the Program Coordinator for Online Learning is responsible for all aspects of administrative support and coordination for Facing History and Ourselves’ online professional learning offerings for educators.

This will include overseeing the course instance setup in the learning management system (LMS), registration process, course communication workflow, course metrics, and graduate credit administration. In addition, you will work with other Facing History departments to ensure that user data is being properly integrated into our organizational databases. The Program Coordinator for Online Learning works as a member of the Online Learning team to help support educators by responding to website and email queries and is responsible for providing quality assurance (QA) for multimedia assets.

Key Responsibilities:

  • Support courses, users, and communications workflows inside and outside the LMS (Canvas) for all Facing History online learning offerings. Support course and workshop registration processes and adjunct facilitator payments.

  • Provide ongoing, front-line support for all online professional learning offerings including facilitated courses, hybrid seminars, and self-paced workshops, ensuring a rapid resolution to issues surfaced by participants and facilitators.

  • Provide content monitoring for self-paced offerings and other spaces where user-generated submissions are present and alert designated member of the Online Learning team when content is in need of moderation.

  • QA e-learning assets for final output.

  • Coordinate online learning calendar, online meetings, facilitator scheduling, logistics for course live learning speakers, meeting planning, etc.

  • Oversee graduate/continuing education credit and certificate administration. Act as point of contact for credentialing institutions. Coordinate processes for users to obtain graduate credit: communication, timelines, project submission, grading processes, and adjunct management.

  • Maintain appropriate database (Salesforce) information, develop reports and assist in the analysis of those reports.

  • Assist in the research, development, and formatting of reports and presentations for internal and external audiences.

  • Create and maintain documentation for course administration duties.

  • Support Online Learning projects, grants, and budgets as needed.

  • Provide administrative, scheduling, and logistical support and coordination for the Director of Online Learning and the Online Learning team.

  • Assist Director of Online Learning and Online Learning team in the development and maintenance of processes and systems designed to maximize organizational effectiveness.

  • Assist in the development of annual budgets and then track monthly expenses against budgets.

  • Participate in, and help coordinate, regular Online Learning team meetings; quarterly and yearly retreats.

  • Manage and coordinate the distribution of all online learning inquiries coming into Facing History through the website.

  • BA/BS or relevant work/internship experience required.

  • Minimum of 1–2 years of experience with LMS coordination (Canvas preferred).

  • Excellent, written and interpersonal communications skills.

  • Strong problem-solving capability, with an orientation towards continuous process improvement.

  • Experience with providing support for webinars/live learning sessions in Zoom.

  • Excellent customer service and support-oriented approaches.

  • Self-directed and detail-oriented.

  • Ability to work individually and as a member of a team.

  • Occasional evening work required.

  • Proficiency with Microsoft Office and Google Suite.

  • Sense of humor and glass-half-full attitude. Willing and eager to learn new things.
