PROCEDURE SCHEDULER

REPORTS TO: PROCEDURE SCHEDULING TEAM LEAD

RESPONSIBLE AND ACCOUNTABLE FOR:

  • Scheduling of GI surgical procedures and radiology procedures.
  • Precertification of radiology procedures as determined by insurance
  • Scheduling radiology procedures with central scheduling department
  • Scheduling procedures with OR scheduling department
  • Knowledge of specific insurance requirements
  • Types complete information in the computer under the appropriate physician’s schedule
  • Assembles appropriate facility procedure packet and consent.
  • Instructs patient on preparation for procedure
  • Supplies patient with teaching materials and brochure
  • Completing tasks timely, completely and correctly
  • Documents all information completely and thoroughly in patient’s chart
  • Renders care to RGI patients in the office setting under the supervision of the Manager of Clinical

Operations

  • Makes every effort to remain a flexible, cooperative and supportive member of the RGI office staff
  • Acts as a liaison between the provider and the patient
  • Maintains friendly open lines of communication between RGI and other endoscopy centers.

REQUIREMENTS AND EXPERIENCE

  • Minimum of two (2) years previous office experience, preferably with scheduling experience
  • Participation in ongoing continuing education
  • Good reading comprehension, legible and accurate handwriting, able to clearly communicate with patients, RGI, and other facilities
  • Able to deal compassionately, professionally, and courteously with patients, their families, physicians and fellow RGI staff

TYPICAL PHYSICAL AND MENTAL DEMANDS:

  • Full range of body motion, including manual and finger dexterity and eye-hand coordination
  • Bending, lifting and carrying
  • Extensive periods of sitting
  • Normal color perception and corrected visual acuity and hearing to normal range
  • Involvement with management, physicians, staff, and patients and their families

TYPICAL WORKING CONDITIONS:

  • Clean environment in a gastroenterology physician’s office
  • Potential exposure to communicable diseases

DUTIES AND TASKS INCLUDE BUT ARE NOT LIMITED TO:

  • Keeps all patient information, practice information and staff information confidential
  • Performs routine work under general supervision
  • Follows established procedures, referring all new or unusual questions/concerns to the Director of Nursing
  • Acts as patient advocate, ensuring a setting that protects the rights of the patient and provides an atmosphere that does not compromise the patient’s physical or mental well-being, safety or dignity
  • Demonstrates knowledge of OSHA, Code Blue, Fire Safety measures
  • Maintains knowledge of, and complies with, established policies and procedures
  • Attends all required meetings

PROCEDURE SCHEDULING:

  • Calls patients and schedules radiology and/or surgical procedures in a timely manner
  • Notifies OR scheduling for procedure time confirmation
  • Types information in the computer under the appropriate physician’s schedule.
  • Instructs patient on preparation for procedure
  • Supplies patient with teaching materials and brochures
  • Documents all information in patient’s chart (If it’s not documented……it’s not done.)
  • Assembles appropriate facility OR packet and consent
  • Delivers the chart to precertification department in a timely manner being especially aware of timing for “urgent” or “add-on” procedures or immediate changes in the schedule

  • Maintains cooperative working relationships with all RGI staff and providers
  • Promotes a high degree of morale and positivity within the office, including cooperation, communication, and coordination between this job and other RGI jobs
  • Demonstrates ability to tactfully and calmly handle difficult situations

PLANNING AND TIME UTILIZATION:

  • Consistently shows ability to recognize and deal with priorities.

INITIATIVE:

  • Performs all duties in an independent manner with minimal direction and supervision
  • Recognizes and performs duties which need to be performed, although not directly assigned.

ATTENDANCE AND RELIABILITY:

  • Does not abuse or take advantage of sick time
  • Regular attendance is a necessity
  • Reports to work as scheduled and is able to complete all functions of job
  • Always provides proper notification and advance notice of absences
  • Reports to work, is at the assigned station, and ready to work at proper start time
  • Returns from 30-minute lunch on time

OTHER:

  • Maintains a well-groomed appropriate appearance
  • Maintains a clean, well-kept work area
  • Maintains a continuing education record which includes two (2) continuing education in-services per year, 100% attendance office staff meetings per year, and 100% nursing department meetings per year
  • Performs other duties as required by the Director of Nursing

NOTE:

  • All staff will be sufficiently in-serviced to each procedure prior to performing that task.
