POSITION SUMMARY
The Policy Coordinator and Quality Administrative Assistant is responsible for providing administrative support and the development, implementation, and coordination of processes to ensure all Boulder Community Health (BCH) Policies are maintained, archived, and cross referenced. This position is responsible for the development of processes that allow smooth development of all Policies and ensures communication and education of these processes to BCH staff and leaders. This position is also responsible for providing administrative support for the Regulatory Readiness Department.
JOB QUALIFICATIONS

Education or Formal Training
1. Bachelor’s degree preferred.
2. Medical terminology preferred.
3. SharePoint or other policy workflow experience helpful.
4. Must have advanced knowledge of Microsoft Office. Specifically, advanced knowledge of Outlook and formatting within Microsoft Word.

8. Must have the manual coordination to operate a keyboard, fax machine, copy machine and be able to type 55+ words per minute.
9. Must be detailed-oriented, have excellent organizational skills with the ability to consistently prioritize, meet changing deadlines.
10. Skilled in problem identification, evaluation.
11. Collect and coordinate data in an accurate, timely manner and provide resolution utilizing a team approach.
12. High-level computer literacy in online base software and Microsoft Office suite, including Excel, Word, PowerPoint and Outlook.
13. Ability to become very skilled at using SharePoint for policies.

Experience
Minimum of three years of experience with computers, Microsoft programs and data entry preferred.

MATERIAL AND EQUIPMENT DIRECTLY USED
Network computer, PC, fax machine, copier, printer, multi-line phone system. Knowledge of Electronic Health Record (EHR) systems, Excel, SharePoint, Word, Adobe Pro, and other computer applications a plus.

WORKING ENVIRONMENT / PHYSICAL ACTIVITIES
1. Employee works independently and must be self-directed.
2. Frequent movement to access printers and copier.
3. Prolonged periods of typing.
4. Must be able to move between offices and multiple campus sites

ESSENTIAL DUTIES / RESPONSIBILITIES
1. Policy Responsibilities
a. Organizes, keeps current, and provides maintenance or updates to the online repository for policies
b. Serve as the key contact for policies and procedures.
c. Responsible for hospital wide education on the policy and procedure process.
d. Responds to questions and instructs on the policy and procedure process.
e. Implements and maintains a review, approval and change control process for policies including:
i. Runs reports to determine upcoming policies that will expire in 3 months
ii. Starts workflows
iii. Educates owners and content reviewers on how to revise or develop a new policy within the established workflow.
f. Tracks policies under revision, monitors status, initiates follow up with "owners" when stalled.
g. Communicates upcoming reviews, expired, archived, and new policies to Regulatory Readiness Manager.
h. Supports all Regulatory (The Joint Commission, Colorado Department of Public Health and Environment, etc.) visits and manages all policy changes required for regulatory compliance.
i. Creates and maintains an archival process for policies and procedures
j. Creates and maintains a process for cross referencing policies.
k. Assures policies and procedures are in Boulder Community Health policy format.
l. Maintains hospital-wide policy index.
m. Creates and maintains a status page for policies under review.
n. Creates and maintains downtime binder/process.

2) Quality Administrative Assistant Responsibilities
a) Assists with administrative needs of the quality department (e.g. filing, scheduling meetings, meeting minutes, typing correspondence, data gathering, forms completion, data entry into spreadsheets and software applications).
b) Attends meetings and prepares meeting minutes
c) Supports and maintains hierarchy of departments within Joint Commission Resources (JCR) Tracers with AMP website.
d) Supports and maintains assigned reports related to Tracer schedules and compliance.
e) Supports and maintains administrator and staff login IDs within Joint Commission Resources (JCR) Tracers with AMP software.
f) Supports tracer follow-up by creating follow-up tasks in Tracers with AMP.
g) Supports tracer categories and naming convention in Tracers with AMP.
h) Supports online library of tracers, updating when Standards of Care and Elements of Performance (EP) change.
i) Supports and maintains compliance data via Tracers with AMP reporting.
