Under general supervision, will coordinate travel for patients being referred to the Alaska Native Medical Center (ANMC) for medical care in Anchorage or outside of Alaska. Will review the provided documentation and assist the patient, clinic and service unit with the completion of travel for beneficiary and Medicaid travel.
The following duties are intended to provide a representative summary of the major duties and responsibilities and ARE NOT intended to serve as a comprehensive list of all duties performed by all employees in this classification. Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties.
REPRESENTATIVE DUTIES All Coordinates travel arrangements, to include but no limited to; air and ground transportation, lodging and meals) for patients and their escorts (if applicable) referred for medical care by ANMC to medical clinics in and outside the State of Alaska. Must be able to determine medically necessary travel while ensuring patient appointments, travel arrangements, lodging, transportation, and other logistical aspects of the patients’ medical travel are completed.

Must be able to work collaboratively with other members of the team/department, as well as outside agencies, to ensure the ANMC Travel Rules and Regulations are being met while also serving as an advocate for the patient and referring provider. Must understand and make every attempt to honor patient travel preferences and be able to inform patients about other services and resources that are available to them. Will assist in coordinating extended or rescheduled travel bookings in real time with the appropriate tribal travel agencies and relative accommodations.

Must be able to work closely with Prior Authorization staff to coordinate and book patient travel within the authorized parameters of the given Medicaid Travel Authorization. All requests must be in accordance with, and reviewed against, ANMC policies and procedures as well as regulations governing Alaska State Medicaid Prior Authorization to verify eligibility for travel benefits.

Must be able to utilize multiple computer systems to gather information and communicate with ANMC, Tribal Health Partners as well as other healthcare providers and clinics. Must complete the credit card reconciliation and billing process for all booked itineraries and provide necessary documentation for all reservations and purchases. Must be able to research travel reservations, process needed refunds and provide accurate invoices at the completion of each itinerary.

Performs other duties as assigned or required.

Purchased Referred Care (PRC) Travel Specific: Must prepare and submit invoices/claims and other documentation for travel reimbursement for customers with alternate health resources.

Must processes patient reimbursement requests by entering purchase orders through specified computer programs while completing check requests through the ANTHC purchasing system. Must monitor reimbursement requests until completed.

Must provide a monthly accounting report and reconcile all purchases that were made, providing supporting documentation in the form of folios and receipts. Must be able to research, gather and analyze all purchase orders to ensure that payments are accurate and received in a timely manner.

Required Skills

All Knowledge of customer service concepts and practice. Knowledge of the Privacy Act of 1974 and HIPAA Privacy Rule Act of 1966. Knowledge of state, federal, and tribal health care programs. Knowledge of state, federal and public/private insurance, including Medicaid/Medicare.

  • Skill in working independently or as a team member. Skill in dealing with distressed customers. Skill in grammar, spelling, sentence structure and effective business letter writing. Skill in operating office equipment, including copiers and fax machines. Skill in interpreting state, federal, and public/private insurance financing. Skill in establishing and maintaining cooperative working relationships with others. Skill in operating a personal computer utilizing a variety of software applications.
Required Experience

MINIMUM EDUCATION QUALIFICATION Patient Travel Coordinator I & II A high school diploma or GED equivalent.

Patient Travel Coordinator III Associates Degree in business or related field. Progressively responsible customer service, travel experience, or related work may be substituted on a year-by-year basis for the college education.

MINIMUM EXPERIENCE QUALIFICATION Patient Travel Coordinator I Non-supervisory – One (1) year of travel experience AND one (1) year of customer service experience. An equivalent combination of relevant education and/or training may be substituted for experience. Must be capable of learning and operating multiple computer systems.

Patient Travel Coordinator II Non-supervisory – Two (2) years of travel experience and two (2) years of customer service experience or one (1) year working for ANMC Travel Management Office as a Patient Travel Coordinator I. An equivalent combination of relevant education and/or training may be substituted for experience. AND Must have successfully mastered Two (2) of the following areas of travel duties: • Sabre or the primary booking software used at the TMO • Navigating and documenting within all ANMC software applications to include but not limited to SharePoint, AFHCAN and Cerner. • Tribal Travel and ANMC Travel Rules and Regulations • Refunding, exchanging, reconciliation and invoicing processes for Medicaid non Medicaid Travel

Patient Travel Coordinator III Non-supervisory – Three (3) years customer service experience and two (2) years of travel experience or 3 years working for ANMC Travel Management Office as a Patient Travel Coordinator. An equivalent combination of relevant education and/or training may be substituted for experience. AND Must have successfully mastered all of the following areas of travel duties: • Sabre or the primary booking software used at the TMO

  • Navigating and documenting within all ANMC software applications to include but not limited to SharePoint, AFHCAN and Cerner. • Tribal Travel and ANMC Travel Rules and Regulations • Refunding, exchanging, reconciliation and invoicing processes for Medicaid non Medicaid Travel • Working knowledge of the ANMC Prior Authorization Specialist, Purchased Referred Care Travel Agent and Care Coordination Agent • Ability to train individuals in Travel Management Office processes and work within a leadership group.
