We are currently seeking well-qualified talent to join our PhysicianOne team. The schedule entails weekday shifts (9-5pm), and some holidays (9-5pm). Comfortable working in an Urgent Care or similar fast-paced environment.
RESPONSIBILITIES SUMMARY: Answering phones, receiving patients and visitors, signing in and out patients, verifying insurance and workers comp information, collecting co-pays, deductibles, co-insurances, manages patient charts, and general filing and clerical duties. Performs other clerical and administrative tasks as required. Act as site liaison between clinic and management.
DUTIES OF THE POSITION:
Telephone and Front Desk Reception

  • Uses appropriate and professional behavior with all patients and all incoming calls
  • Answers questions and gives information directly or via the telephone within the limits of knowledge and medical practice policies
  • Directs calls to appropriate personnel
  • Takes and relays messages
  • Ability to troubleshoot computer, scanner and printer issues
  • Manages multiple phone lines simultaneously
  • Maintains strictest confidentiality

Patient sign in and Verifying Payment Information

  • Takes demographic, insurance information and inputs patient appointments into the computer
  • Registers patient into computer system
  • Verifies insurance, if workers comp case gets authorization to treat and claim number
  • Create and manage patient charts following office protocol
  • Ensure that all patients have a known mechanism to pay their bills
  • Billing company to update and correct entered data

Patient and Visitor Contact

  • Greets patients and office visitors in a pleasant and professional manner
  • Obtains relevant medical and demographic information at window

Administrative Support

  • Counts and balances “cash box” money at the end of the day
  • Collect fees, issue receipts, and counsel patients concerning their accounts when necessary
  • Respond to requests for copies of patient records according to office policy
  • Faxes documents as needed
  • Ensures there are adequate registration/HIPAA forms prepared and available

Charts Management

  • Create and manage patient charts according to office policy
  • Retrieve and file medical records, letters, reports, and miscellaneous items as requested as per office policy

Miscellaneous Duties

  • Responsible for maintaining a clean, organized and welcoming waiting room during business hours
  • Ensures the waiting room is clean and organized and ready for the next business day to include but not limited to; wiping down the toys and the chalkboard, purging old out dated magazines and straightening the chairs

POSITION REQUIREMENTS:

  • Knowledge of medical terminology, insurance and worker’s comp billing information
  • Skill in obtaining and maintaining accurate records in all aspects of medical office
  • Ability to communicate clearly and show patience with patients
  • Ability to initiate and complete tasks related to job duties without direct request of supervisor
  • Ability to work well with others and be willing to help when needed
  • Maintains strictest confidentiality of patient information and office business practices
  • Ability to multi-task with phones, patients and other responsibilities

Requirements
