The Office Manager, based in the Tampa, FL office, does it all, from managing the office and facility, to greeting people in the office, to handling a number of administrative and support duties, to helping create a positive work culture… the Office Manager makes it seem effortless. This team member creates a warm and welcoming environment for employees and visitors alike and handles changes and interruptions like a pro.

Position Duties and Responsibilities
- Oversee facilities and maintenance requests and make recommendations for services, vendors, and other facility-related needs
- Manage office supplies, office organization, cleanliness and general safety
- Be an enthusiastic and friendly host to employees, candidates, visitors and vendors; Coordinate needs of visitors from other Validity US and global offices
- Order and put away office and kitchen supplies, including snacks and routine lunches, on weekly basis
- Ensure that all office & kitchen machines are working and maintained
- Coordinate, interact, and maintain relationships with all suppliers/vendors and property managers
- Manage, organize and track purchases; May approve incoming invoices for payment and submit receipts and invoices to Accounts Payable for payment
- Update budget with daily, weekly, and monthly expenses with the goal of staying on track of yearly spending and recommend opportunities for
- Handle all deliveries (inbound, outbound) and outgoing mail
- Maintain a welcoming environment for guests, offer water/coffee to visitors and candidates, and give tours of the office as needed
- Coordinate office/cubicle moves in partnership with internal teams
- Maintain spreadsheets, prepare correspondence, answer telephones, and perform research as needed
- May occasionally run miscellaneous errands in support of office activities or leadership requests
- Proactively organize inter-office events, participate in Culture Committee, and assist with planning and executing special events as needed
- Other duties as required
Required Experience, Skills, and Education
- 1-2 years of experience managing an office space
- Valid FL Driver License is required; the Role requires the ability to run routine errands in a personal vehicle during working hours
- High level of proficiency in using Microsoft Office, especially Outlook, Word, and Excel
- Passion for creating positive and welcoming environments
- Proficient in maintaining calendars, expense reports, and purchasing
- Outstanding verbal and written communication skills, with high degree of confidentiality, diplomacy, and professionalism
- Self-starter who is reliable, conscientious, and organized
- Sound judgment and ability to solve problems with excellent follow-through
- Must be able to meet expectations amidst interruptions and changes in tasks and direction
