Responsible for coordination of building operations, management of activities and events for the Union’s facilities, room set-up, and general cleaning of Union facilities as needed. Acts as a primary onsite contact for patrons and as the contact for audio/visual services. Monitors and addresses facility appearance, ambiance, furnishings, functionality, and other elements contributing to a fresh, safe, comfortable, attractive and engaging environment in which the Union hosts its various clients, constituents, and guests. This is a part-time position. Supervision Given and Received Essential Functions: Additional Responsibilities 1. Is a reliable source for patron information regarding KU and KU Memorial Union areas. Required Knowledge, Abilities and Skills 1. Excellent communication skills both oral and written. Minimum Qualifications 1. Ability to work a flexible schedule, including evenings and weekends. Preferred Qualifications 1. Event/facilities management experience.
Receives direct supervision from the Senior Operations Manager.
1. Uses event management software reports as provided (EMS and Visio) to facilitate meeting space reservations to meet guest requirements. Meets with event coordinators onsite to understand and communicate those needs to those responsible for service delivery.
2. Uses reporting processes such as building and incident reports to effectively and thoroughly communicate pertinent organizational information to Union departments.
3. Maintains a high level of understanding of the physical infrastructure of the building such as media equipment, HVAC, lighting and the fire safety system to react to the needs of our patrons in a timely manner.
4. Functions as the building representative in case of emergency (fire, severe weather, bomb threats, medical emergencies and criminal behavior) until professional staff and/or authorities have arrived on site. To include dispatching staff to assist patrons with evacuation or shelter, interfacing between patron(s) and emergency personnel in case of medical emergency and contacting KU Public Safety in case of criminal behavior.
5. Demonstrates an expert level of understanding of KU Memorial Unions policies and procedures. Implements the Unions policies and procedures to ensure the safety of our patrons and proper usage of our facilities. Includes, but not limited to, “time, place and manner” issues, building security, and closing procedures.
6. In the process of event setup, collects and removes waste, vacuum cleaner, and other equipment under supervision.
7. Organizes furniture in areas assigned according to room setup specifications and/or makes room and banquet setups and teardowns.
