The Center for Hunger-Free Communities (The Center), established in 2004, is a research, service and policy/advocacy center of Drexel University Dornsife School of Public Health in Philadelphia, PA. The Center offers multi-faceted research and action with the goal of developing innovative, empirically-tested solutions to the challenges of hunger and economic insecurity.

About the Building Wealth and Health Network (The Network):

The Building Wealth and Health Network is a trauma-informed, healing-centered financial literacy program, that combines emotional and peer support to promote self-efficacy and resilience in traditionally under-resourced communities.

Job Summary

The Center for Hunger-Free Communities seeks an Operations Coordinator for its Building Wealth and Health Network (The Network) to provide program coordination, administration, and logistics support. The coordinator will collaborate with the program’s Financial SELF Empowerment coaches and other program staff to ensure that program operations run smoothly. The coordinator will work with the Operations Manager to cultivate and maintain internal processes and protocols to support program growth. The Operations Coordinator will also help to facilitate the expansion of the program and implementation of program operations in other sites. Applicants should be prepared to contribute to the development of the program actively and creatively by working with The Network staff and participants to increase the effectiveness and efficiency of program protocols.

Essential Functions

  • Program Operations, Logistics, and Communications:
  • With the guidance of the Operations Manager, the Operations Coordinator will:
  • Coordinate all aspects of program recruitment and orientation activities across various sites, including actively recruiting new members.
  • Maintain efficient tracking and documentation for various participant data, including incentive earnings and receipt, attendance, and Network Advisory Council attendance and stipends. The program coordinator will work to ensure the prompt distribution of participant incentive payments and reimbursements as needed.
  • Continuously evaluate and make recommendations for improvements to program protocols and operations with a goal of improving the overall efficiency across program sites.
  • Act as liaison between operational and programmatic priorities, bridging communication and system gaps.
  • Design and disseminate a monthly Network Newsletter to members, advisors, and partners. • Support the Network’s social media presence through the creation and coordination of content for Instagram and Facebook.
  • Support the growth of the Network Advisory Council.
  • Participate in training opportunities for personal growth in effective program coordination, strategic expansion and sustainability, and leadership and management.

Program Activities Support:

In coordination with the Network Coaches, the Operations coordinator will

  • Maintain and update the Network’s online learning management system and coordinate the schedule and organization of remote program classes using web-based technologies and platforms like Zoom.
  • Coordinate the pre- and post-program survey process for members for each cohort .
  • Facilitate preparations for in-person cohorts as needed, including: printing class materials; ordering snacks, and other supplies; and supporting programmatic documentation and data entry.
  • Coordinate efforts to communicate with members including class updates, community resources, and scheduled meeting reminders via text messaging, email, and phone correspondence.

Administrative Support:

The Operations Coordinator will provide administrative support to Network program leadership including:

  • Scheduling and coordinating internal meetings and taking and maintaining meeting minutes.
  • Organizing and maintaining internal documents following Drexel and IRB regulatory protocols.
  • Prepare work orders, check requests, purchase requisitions through SmartSource and other documentation for proper distribution under the supervision of the Network Program Coordinator. • Arranging conference registration, business travel, and accommodations. • Maintaining physical office space, including office systems and supplies, and tracking inventory. • Attending meetings, community events, and other opportunities to engage with the public and partners about our program.
  • Other duties as assigned by Operations Manager to meet the organization’s needs.

Required Qualifications

  • High School Diploma or Equivalent
  • 2 years of experience providing administrative support to social service programs in an academic or non-profit setting

Other requirements

  • Experience with providing support for leadership and program management is a plus
  • Experience in developing and writing protocols and best practice guides
  • Professional experience providing customer service to community members with low-incomes, individuals who have experienced trauma, and/or adults with limited education and/or low literacy.
  • Strong decision-making and prioritization skills and attention to detail
  • Demonstrates aptitude in organizational, and recordkeeping skills.
  • Proficient computer skills with strong knowledge of Microsoft Office Systems, specifically MS Word, PowerPoint, Outlook, Excel and Zoom. Experience with computer-based database software a plus
  • Solid understanding of the public welfare system, including TANF, SNAP, WIC and other public benefit programs
  • Strong emotional intelligence, customer service and interpersonal communication skills,
  • Creativity, good sense of humor, and ability to be flexible, have fun, and collaborate with others

The Center employs the Sanctuary Model in its implementation of programs. The Sanctuary Model is an evidence-supported, trauma-informed practice designed to facilitate the development of structures, processes, and behaviors on the part of staff, clients and the community-as-a-whole that can respond to the wounds of traumatic experiences and extended exposure to adversity of program participants. The applicant should have some knowledge and/or interest in learning about this organizational culture model.

Supplemental Posting Information:

This is a full-time position based in the Center for Hunger-Free Communities offices at 3600 Market Street, Drexel University Dornsife School of Public Health. The position will work directly with and is supervised by the Network Operations Manager. This position is funded by external grants and contracts. Pay commensurate with experience.
