Operations Associate

Elm Community Charter School is seeking a highly organized and community oriented Operations Associate who cultivates a beautiful, organized, and smooth operating office. Reporting to the Director of Operations and in collaboration with the Operations Team, the Operations Associate will be integral to the daily operations in order to provide our students with a dynamic educational experience.

Responsibilities:

Supports the main office and daily school operations

  • Collaborates with the Operations Team in supporting main office systems and operations;
  • Assists with student transportation including arrival, dismissal, and field trips;
  • Assists in all phases of the school’s Food Services program;
  • Assist with the running of the After School Program including classroom arrangements, and partner organization services;
  • Assists the facilities maintenance and custodial services to ensure a safe and clean building;
  • Assists in the procurement and inventory of school supplies (e.g. technology, furniture, supplies);
  • Assists in the inventory of all school assets, including furniture, technology, books, etc.;
  • Assists in the school’s emergency exit and lockdown procedures and protocols; scheduling of fire drills in accordance with state law;
  • Works to create an office space and culture that is welcoming, organized, and accessible to all stakeholders including staff, learners, families, and partners;

Supports student information system and student records

  • Supports the student record keeping systems in line with state rules and regulations, including healthy and safety laws, teacher certification, city and state mandates, and all state and federal workplace regulations;
  • Become an expert in managing ATS and student information system (School Runner);

Supports student recruitment and the enrollment process

  • Assist Director of Operations with meeting enrollment targets;
  • Assists in the student enrollment process including application, lottery, waitlist, transfer, withdrawal process, and monitoring of accurate ATS records;
  • Work to become an expert in managing school enrollment portal (SchoolMint)

Supports Family Communication & Outreach

  • Collaborates with the Operations team in creating effective and efficient communications to all stakeholders, and implements smooth and efficient in-school systems;
  • Implements and supports communication systems with families (e.g. newsletters, mailings, flyers)
  • Responds to general school inquiries via phone, in person, and email with urgency and thoughtfulness;
  • Supporting all policies, procedures, and communications across the school community to drive student outcomes;
  • Establishing and maintaining successful relationships within all members of the school and building partners to drive the goals our school community;

Miscellaneous school support

  • Key supporter in planning/executing school-family events and involvement, including family nights and school tours;
  • Helps support and host on-campus and off-campus school events, including student field trips;
  • Assist school marketing efforts;
  • Assist in managing school Social Media accounts (Instagram and Facebook);
  • Establishes and maintains successful relationships with all members of the schools to drive the goals of our school community;

Skills and Qualifications

  • A minimum of 1 year of experience in professional operations experience, preferably in a charter school; minimum 1 year of supervisory experience;
  • Fluency in Spanish strongly preferred;
  • Proficiency in Microsoft Excel, PowerPoint, Word, and Outlook strongly preferred
  • Ability to self-direct, prioritize and multi-task among competing goals
  • Comfort with working in a fast-paced, entrepreneurial environment
  • Demonstrated ability to work well with others and build relationships across teams
  • Strong written and verbal communication skills with keen attention to detail
  • Demonstrated knowledge of charter school compliance strongly preferred;
  • Unquestioned integrity and alignment to Elm’s mission, core beliefs, and educational philosophy.

Job Type: Full-time

Pay: $50,000.00 - $60,000.00 per year
