Pauline and Thomas Healthcare is a non-profit organization serving individuals with intellectual, developmental and physical disabilities. The Office Manager (OM) is responsible for assisting in Human Resources, Residential, Medical and Finances departments within the office.

The Office Manager's primary responsibility is assisting with the Residential Department. The OM is responsible for managing and filling job requisitions and ensuring a pipeline of available, qualified Direct Support Professionals (Front line caregiving staff) to meet the agency's client needs and training staff members on specific job training skills. The OM is also responsible for managing the agency's direct care staffing schedule. The OM manages the quality and consistency of the company presence and provide feedback regarding services delivered.

Essential Functions

  • Answer telephone; take inquiries or messages utilizing good telephone technique.
  • Receive and respond to referrals and service inquiries on the programs offered.
  • Interview, screen and test all applicants.
  • Supervise, schedule and coordinate day to day activities of the caregivers.
  • Assist with recruiting, associate hiring, orientations, in-services, disciplinary actions, etc.
  • Perform payroll duties including verifying time sheets and/or Telephony processing.
  • Computer input of time sheet/Telephony changes for payroll processing.
  • Communicate continually with administrative staff.
  • Respond promptly and courteously to all calls.
  • Assist with marketing and public relations efforts.
  • Promote the agency services in the community.
  • Be totally knowledgeable in the agency service lines and client base.
  • Assist with the planning of community activities.
  • Assist with the planning of client/staff activities.
  • Perform on-call coordinator duties as needed.
  • Protect all company records and property.
  • Participate in educational opportunities as available.
  • Represent agency at community functions and professional organizations.
  • Perform Postal mail activities, if required

Additional (non-essential) Functions

  • Other general office and clerical functions.
  • Work as a caregiver in case of staffing emergency.
  • Regular Office hours: Monday to Friday – 8:00 AM to 4:30 PM
  • Other duties assigned

After-Hours Coordinator Responsibility

As an after-hours coordinator you will be on-call outside of Pauline and Thomas Healthcare regular business hours. Your duties and period of availability (“After Hours Period”) will be as follows: Monday through Friday from 5 p.m. to 8:00 a.m. daily and alternate weekends as well as the following holidays (that fall during your time on-call): New Year’s Day, Memorial Day, Independence Day, Labor Day, Thanksgiving Day, Christmas Eve and Christmas Day.

Skills:

  • Prior knowledge of HR concepts and terminology is preferred but no required.
  • Must be flexible, work well under pressure, and have the ability to readily adapt to change.
  • Able to manage multiple priorities, think tactically and strategically, demonstrate objectivity, be results-oriented, and show initiative and creativity.
  • Proficient use of a computer
  • Proficient in Microsoft Office

Qualifications:

  • Must be 18 years of age or older
  • Valid Driver's License
  • Valid Car Insurance
  • I9 Identification (Social Security Card, Passport, etc.)
  • Ability to lift at least 50 pounds

Education:

  • Required: HS Diploma or equivalent

Experience:
Required:

  • 1 year of Customer Service Experience
  • 1 year of Staffing Experience
  • 1 year of Management Experience
